Ambulatory Medical Practices MSO, Inc. (AMP), for ColumbiaDoctors, has an exciting opportunity for an Administrative Assistant – HR position in our Valhalla location.
Ambulatory Medical Practices MSO, Inc. (AMP), for ColumbiaDoctors, is a Management Service Organization (MSO) that provides administrative and clinical support staff for ColumbiaDoctors Medical Group and ColumbiaDoctors of the Hudson Valley. ColumbiaDoctors is one of the largest multi-specialty practices in New York State, comprised of an experienced group of physicians specializing in Cardiology, Vascular Disease, Internal Medicine, Obesity, Podiatry, Gastroenterology, and Endocrinology. Our group is comprised of over 50 Columbia physicians treating patients throughout Westchester, Rockland, and Orange Counties. Our locations include Valhalla, Hawthorne, White Plains, Yonkers, Scarsdale, Suffern and Monroe.

Essential Duties and Responsibilities:
- Conduct new hire orientation for all new employees.
- Educate, compile and process all onboarding paperwork for new hires; organize and track employee process within the onboarding process.
- Maintain organized and up-to-date employee and HR files; prepare employee status change forms.
- Maintain HR databases to review, input and keep track of employee information.
- Process benefits enrollments, changes and terminations
- Prepare leave of absence paperwork and complete applicable claim forms; track all LOA requests including FMLA, Paid Family Leave and Disability.
- Reconcile monthly carrier invoices.
- Answer employee questions about company policies, HR regulations and benefits.
- Set up educational in-services to all employees for benefits; assist with annual open enrollment.
- Assist with documentation concerning grievances, terminations, absences and performance reports.
- Serve as point of contact for employment agencies to facilitate an organized recruitment
- Recruitment tasks include maintaining recruiting database, posting of job openings, gathering information from applicants, reviewing applicant resumes, scheduling interviews, conducting initial phone screens, verifying prior employment, conducting background checks and providing offer letter to new candidate
- Communicate with managers, supervisors, physicians, co-workers effectively by phone, written, and email or in person.
- Other jobs may include: scheduling appointments and Zoom meetings, maintaining calendars, copying files, entering data into computer.
- Must be knowledgeable of privacy concerns and importance of confidentiality.
Qualifications/Skills:
- 3 years Human Resources experience, preferred
- High School diploma; degree or SHRM PHR certification a plus
- General knowledge of various employment laws and practices
- High ethical standards and ability to exhibit a high level of confidentiality
- Positive outlook with effective oral and written communication skills
- Ability to communicate and work effectively with others
- Must be organized, detailed oriented and have exceptional follow up / follow through skills
- Light timekeeping and payroll experience, preferred
- Proficient in Microsoft Office
The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered for this position at the time of this job ad and may be modified in the future.
