Position Summary:
The Collections Coordinator is responsible for overseeing all aspects of accounts receivable collections. This role requires a highly organized individual with excellent communication skills and the ability to manage sensitive client interactions with professionalism. The ideal candidate will be persistent, proactive, and results-driven, capable of managing their responsibilities with a high level of independence. This position is best suited for someone who thrives working with minimal supervision and can take full ownership of the collections process.
Key Responsibilities:
• Monitor accounts receivable and follow up on past-due invoices.
• Contact clients via phone, email, and mail regarding outstanding balances.
• Build and maintain strong relationships with clients to encourage timely payments.
• Work closely with estimating department, project managers, and the accounting team to resolve billing discrepancies.
• Maintain accurate records of communications, payment statuses, and follow-up actions.
• Send monthly statements and escalate delinquent accounts as necessary.
• Recommend accounts for collections or legal action when appropriate.
• Prepare reports for management on collection efforts, aging balances, and trends.
• Ensure compliance with internal policies and applicable laws related to collections.
Qualifications:
• Proven experience in collections, accounts receivable, or related administrative/accounting roles.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Ability to remain calm and professional in challenging situations.
• Comfortable working independently and managing priorities with minimal oversight.
• Self-motivated, dependable, and accountable.
• Experience with QuickBooks or similar accounting software is a plus.
• Familiarity with the professional services or land surveying industry is a plus.
• Familiarity with the construction industry and pay cycles is a plus.
