Project Administrator
A HVAC mechanical contracting business located in Walnut Creek has an immediate full-time opening for a person that enjoys a small business atmosphere, has a can-do attitude, is reliable, and willing to wear various hats. This position will provide support to construction project managers, in addition to overall office support. The ideal candidate may also take on Accounts Receivable, incoming check processing, and collection duties.
Responsibilities:
- Organize and maintain project files, filing system and project communications
- Enter new projects into company’s accounting system
- Obtain permits
- File preliminary notices for projects
- Ensure that all appropriate city business licenses are renewed timely
- Process all project-related change orders
- Maintain labor forecast
- Handle insurance requests for new and existing projects
- Prepare and manage subcontract agreements
Office Administration and Other Duties:
- Front desk duties including handling incoming and outgoing packages, distributing mail, processing walk-in sales
- Order office supplies as necessary
- Work with IT to order and set up new phones and/or computers for new hires, and assist employees with ongoing phone and computer needs
- Accounts Receivable, incoming check processing and collection duties.
- Provide direct back up to service department dispatcher, including answering calls from customers and service technicians and dispatching techs to jobsites
Qualifications:
- Construction industry experience required
- Excellent written and oral communication skills an absolute must
- Detail oriented with strong analytical skills
- Self-motivated, able to multi-task and work with a minimum of supervision
- Proficient in Microsoft Word, Excel and Outlook
- Experience with Foundation Software a plus
