Job Summary:
David Carroll Associates, Inc. is seeking a detail-oriented and organized Project Administrator to support project management operations and ensure efficient workflow. The ideal candidate will be responsible for maintaining project documentation, tracking progress, and facilitating communication among the Project Managers.
Key Responsibilities:
Assist project managers in tracking project activities and deliverables, including billing schedules.
Maintain and organize project documentation, including contracts, change orders and reports.
Maintain data integrity across platforms (ensure accuracy of part information, pricing, documentation, import & export data sets into internal applications)
Communicate with internal and external stakeholders to provide project updates and resolve inquiries.
Assist in budget tracking, procurement coordination, and invoice processing related to projects.
Support risk management efforts by identifying potential project issues and escalating concerns.
Utilize project management tools and software to update project data and generate reports.
Ensure compliance with company policies and project management best practices.
Provide internal system support to team members
Assist development team in creating and maintaining workflows and application functionality
Perform other administrative tasks as needed to support project teams.
Qualifications & Requirements:
Associate’s or Bachelor’s degree in Business Administration, Project Management, or a related field preferred.
3 years of experience in an administrative, project coordination, or project support role.
Excellent knowledge of Microsoft Office Suite, especially Excel.
Ability to learn and adapt to new workflows and applications.
Ability to professionally and efficiently communicate both internally and externally.
Strong organizational skills with the ability to multitask and prioritize effectively.
Detail-oriented with a problem-solving mindset.
Preferred:
Certification in Project Management (CAPM, PMP, or equivalent) is a plus.
Experience in the Audio/Visual industry.
Familiarity with project management methodologies (e.g., Agile, Waterfall) is a plus.
Contract & change management experience
Local & available for in-office training, hybrid remote/in-office preferred
