What are the responsibilities and job description for the Office Coordinator position at AmeriClean Carpet Care and Restoration?
As a Project Coordinator, you will support project managers and development staff in the Albany, GA office and across the surrounding cities. You will assist the organization with high-impact technical, planning, and administrative activities. Your work includes supporting staff in project management, such as schedule and deliverable tracking, client communications, and budget tracking; editing, proofreading and formatting technical reports, proposals, contracts, permits and other documents; and collection and management of various forms of technical and project financial data. Also, working in multiple different client, customer, and internal dashboards/systems to ensure projects, milestones, activities, schedules, budgets and other information is current and accurate.
Essential Functions and Responsibilities
· Work with Project managers, operations, and administrative teams to coordinate the work of proposal development- gathering required materials, researching, editing, and preparing scopes, budgets, work orders, etc.
· Submitting supporting documents to Insurance companies, clients, etc.
· Assist in the preparation of new projects for project managers
· Assist in the approval of estimates and accounts receivable
· Serve as a communication hub for project managers and homeowners
· Create, update, and maintain project files within our internal dashboard
· Update, track, and respond professionally to all client notes
· Coordinate with Accounts receivable and project managers to create and distribute invoices and progress reports
· Attend recurring internal meetings relevant to the tasks being managed
· Help to create and maintain clear procedures for various administrative processes.
· Respond to inquiries in a timely manner using effective interpersonal, communication, critical thinking, and problem-solving skills.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
