Role Description
We are seeking a full-time Receptionist/Administrative Assistant for our San Rafael, CA office. In this position, you will be responsible for performing various administrative tasks, such as running advisor's calendar, keeping advisor organized, and helping with daily workflow. This person has likely never had experience in the financial services industry but can help record and organize the details, take notes, keep advisor on task and lead up.
Qualifications:
- Excellent interpersonal and communication skills, both verbal and written
- Professional attire and appearance.
- Ability to work independently and in a team-oriented environment.
- People person. Friendly and warm. Loves to talk with people.
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Minimum typing speed of 60wpm
- Great penmanship (will hand address envelopes to clients)
Responsibilities
Calendar:
- Schedule & manage calendar.
- Remind advisor about meetings and get them set up.
Phone/email:
- Answer calls, point person on email.
- Be friendly & warm like the person is a dear friend
Note Taker
- Sits in on Client Meetings, takes notes & creates summaries.
Technology
- Technology point person for outsourcing IT issues
- iPhone, iPad, printer, scanner, etc.
- Run Advisors Social Media
Events/Marketing:
- Schedule, set-up, execute events.
- Christmas cards
Office Duties:
- Opens office in the mornings.
- Greet guests (coffee, refreshments)
- Prep Meeting Packets.
- Restock.
- Keep Advisor’s space organized.
Personal Duties:
- Errands & travel arrangements, calendaring
Client related work:
- Pick-up mail daily, open, scan, log, deposit checks.
- Note taker in client meetings and meeting summaries
- Meeting Prep
COMPENSATION
- Pay starts at: $25 - $30/h
