Our client, a Medical Center facility under the aegis of a California Public Ivy university and one of largest health delivery systems in California, seeks accomplished Healthcare Executive Administrative Assistant.

Description:
- Provide principal confidential administrative support to an Executive Director and its management team.
- Maintain responsive relationship with the day-to-day activities of the departmental staff, consultants, and clients.
- These duties will require knowledge of office routine, and an understanding of the organization, programs and procedures related to the work.
- Provide confidential administrative support to management team. Maintains confidentiality of sensitive corporation documents and records.
- Maintain complex calendar schedules for management team. Coordinate and schedule meetings and provide necessary materials.
- Coordinates travel arrangements for management team.
- Update and maintain weekly staff schedule.
- Maintain scheduling calendar for conference room.
- Create, compose, and edit correspondences, summaries, and reports.
- Review statistical reports, tracks data and provides analysis, as requested.
- Organize major meetings, including producing and distributing materials and arrange facilities.
- Understand, support, promote and adhere to the customer service philosophy and standards of department.
- Interface with a wide variety of professional and community organizations on behalf of the management team.
- Respond to a variety of telephone and written inquires and/or direct inquires to appropriate staff member for response.
- Complete expense reports and submit to the department for management team.
- Reconcile invoices corporate credit card purchases and oversee process.
- Coordinate fee requests and payment schedules for outside consultants.
- Upon approval, responsible for ordering office supplies and storage room maintenance.
Qualifications:
- High School Diploma, GED, or equivalent. Bachelor's degree in business preferred.
- Minimum Experience: Minimum of 3-5 year’s progressively responsible administrative assistant experience, preferably in a healthcare delivery system or a medical office.
- Decision-Making and Problem-Solving Required.
- Handle day to day fiscal matters e.g., expense reports, ordering supplies and with approval by department manager.
- Ability to handle multiple tasks and prioritizes work effectively.
- Excellent organizational skills with attention to detail.
- Excellent administrative skills, including proficiency in Microsoft Word, Excel, PowerPoint and 10 key calculators.
- Ability to take and transcribe accurate minutes.
- Ability to create, compose, and edit correspondence and reports.
- Excellent communication skills, both written and oral.
- Ability to work with all levels of staff within CHO and externally.
