Position Overview
We are seeking a proactive and detail-oriented Executive Assistant to C-Suite to provide essential administrative support to our CAO, CEO, and other executive leaders. In this role, you will contribute to the success of the executive office by managing schedules, preparing reports, coordinating meetings, and maintaining records. What You'll Do
Be a Strategic Partner: Work directly with C-Suite executives to manage their daily responsibilities and ensure seamless operations.
Master of Schedules: Coordinate executive calendars, manage appointments, and resolve any scheduling conflicts.
Meeting Management: Organize and facilitate meetings, prepare agendas and minutes, and handle follow-up actions.
Board Support: Act as a key liaison between executives and Board Members, ensuring timely distribution of materials and facilitating clear communication.
Travel Coordination: Arrange travel and accommodations for executives and board members attending corporate events.
Communications: Draft, edit, and distribute correspondence, emails, reports, and presentations on behalf of the leadership team.
Project Management: Collaborate with cross-functional teams to support and execute special projects, ensuring deadlines are met.
Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
Event Coordination: Assist in the planning and execution of company events, including health fairs, holiday parties, and executive retreats.
What We're Looking For
Education: Bachelor's degree in Business or related field. Healthcare industry experience is highly preferred.
Experience: 3-5 years of administrative experience, including 3-5 years of executive assistant experience supporting C-level executives.
Technical Skills: Proficiency in Microsoft Office Suite and familiarity with tools like Adobe, Google Apps, and Zoom.
Communication: Excellent written and verbal communication skills with strong attention to detail.
Organization: Ability to juggle multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
Problem-Solving: Strong analytical and problem-solving abilities to proactively address challenges.
Interpersonal Skills: Ability to build strong relationships and collaborate effectively across all levels of the organization.
