Primary Responsibilities
- Electronic File Maintenance: Manage and organize client files using electronic document management systems, ensuring that all records are accurate, up-to-date, and easily accessible.
- Client Intake Process: Assist with the client onboarding process, including gathering initial documentation, creating client profiles, and preparing engagement letters.
- Closing Matters: Coordinate the closing of matters, ensuring all documentation is finalized and filed appropriately, and assist in the preparation of closing statements.
- Proofing and Editing Documents: Review legal documents for accuracy, grammar, and formatting, ensuring that they are error-free and in compliance with firm standards.
- Time Entry: Accurately record time entries for attorneys and legal staff, ensuring proper billing and compliance with the firm’s guidelines.
- Administrative Duties: Provide general administrative support including answering phones, scheduling meetings, managing calendars, and handling correspondence.
- Overflow Support: Offer additional administrative support to various practice areas as needed, ensuring the firm’s operations run smoothly and efficiently.
- Minimum of 2 years of prior experience as a Legal Administrative Assistant, preferably in a law firm setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and electronic document management systems.
- Strong attention to detail and exceptional organizational skills.
- Ability to manage multiple tasks simultaneously, with excellent multitasking abilities.
- Outstanding verbal and written communication skills.
- Superior client service skills, with the ability to maintain professionalism and discretion in all interactions.
