Position Overview
The Payroll Specialist is responsible for processing payroll for a portfolio of 200-250 clients, ensuring compliance with payroll regulations, and providing exceptional customer service. This role requires expertise in payroll processing, tax-related issues, and keen attention to detail. Payroll Specialist Responsibilities
Payroll Processing & Compliance
- Process multi-state payrolls for a client base of 200-250 clients across various industries, ensuring timely and accurate payroll execution.
- Verify and input payroll data, including hours worked, earnings, bonuses, commissions, tax withholdings, deductions, and benefits contributions for employees.
- Ensure accurate calculation of overtime, shift differentials, bonuses, retroactive pay, and special pay types.
- Manage and process off-cycle and special payrolls, including terminations, severance payments, and manual checks as needed.
- Review and audit payroll reports before final submission to identify and correct discrepancies.
Tax Administration & Compliance
- Maintain compliance with federal, state, and local tax laws, ensuring accurate tax calculations and timely payroll tax filings.
- Process and reconcile payroll tax payments, including 941, 940, state unemployment (SUTA), state income tax (SIT), and local taxes.
- Assist with the preparation and filing of quarterly and annual payroll tax reports (W-2, W-3, 1099, 1095-C, etc.).
- Monitor and ensure compliance with wage and hour laws, FLSA regulations, and state-specific labor laws.
- Address payroll tax notices, audits, and discrepancies by corresponding with tax agencies and internal teams.
Garnishment & Deductions Management
- Process and maintain accurate records of garnishments, child support orders, tax levies, student loan repayments, and other involuntary deductions.
- Ensure proper compliance with wage garnishment laws and communicate with agencies as needed.
- Verify and process voluntary deductions, including health benefits, 401(k) contributions, HSA/FSA accounts, and union dues.
Client & Employee Support
- Serve as the primary point of contact for clients, assisting with payroll-related inquiries, system navigation, and compliance questions.
- Provide guidance to clients on payroll best practices, wage laws, and system functionality.
- Address and resolve payroll discrepancies, employee payment issues, and direct deposit concerns in a timely manner.
- Educate and assist clients with employee onboarding, terminations, and payroll data entry.
- Maintain a high level of client retention and satisfaction by delivering superior service and proactive communication.
Payroll System Administration & Reporting
- Manage payroll software systems, ensuring accurate data entry and payroll processing.
- Generate, review, and distribute customized payroll reports for clients, including pay registers, tax liability reports, deductions reports, and labor distribution reports.
- Support system upgrades, enhancements, and troubleshooting of payroll processing software.
- Assist in the setup and configuration of payroll for new clients, ensuring accurate tax setup, pay codes, and deductions.
Process Improvement & Training
- Identify and recommend process improvements to enhance payroll accuracy, efficiency, and compliance.
- Assist in training new team members on payroll processes, compliance requirements, and system usage.
- Contribute to payroll policy development, procedural documentation, and internal training sessions.
Qualifications & Requirements
- Associate’s degree or equivalent experience in payroll, accounting, or a related field.
- Minimum 3 years of payroll processing experience, preferably in a high-volume environment.
- Strong knowledge of federal, state, and local payroll and tax laws.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and payroll software.
- Exceptional customer service and problem-solving skills.
- Excellent organizational, communication, and time management abilities.
- Ability to work in a fast-paced environment while maintaining accuracy and attention to detail.
