SUMMARY:
Under the supervision of the Executive Director, the Executive Assistant will ensure smooth daily operations of the home office and maintain the schedule, communications, and various administrative tasks of the Executive Director of ANCHOR.
DUTIES AND RESPONSIBILITIES:
These describe the general nature of the position, other duties and responsibilities may be assigned, as needed.
- Reads and routes incoming mail.
- Composes and types routine correspondence.
- Organizes and maintains file system and files correspondence and other records.
- Answers and screens Executives’ telephone calls and arranges conference calls.
- Coordinates Executives’ schedules and makes appointments and travel arrangements.
- Greets scheduled visitors and conducts to appropriate area or person.
- Conducts research, and compiles and types statistical reports.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities and records minutes of meetings.
- Makes copies of correspondence or other printed materials.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Orders and maintains supplies and arranges for equipment maintenance.
- Performs other related duties as assigned.

EDUCATION AND EXPERIENCE:
Associate’s or technical degree from an accredited college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
Excellent verbal and written communication skills, with ability to teach and train; excellent organizational skills and attention to detail; strong analytical and problem-solving skills; strong supervisory and leadership skills; proficient with Microsoft Office Suite or related software.
TECHNICAL SKILLS:
The employee will need to have strong computer skills (MS Word, Excel, PP, etc). Must have the ability to learn other computer software programs as required by assigned tasks.
PHYSICAL DEMANDS:
To perform this job successfully, the employee is frequently required to remain in a stationary position. Daily movements include sitting, standing, operating computers and other office equipment, moving about the office, and attending meetings. The employee must be able to communicate via email and verbally via telephone. The employee must occasionally transport up to 25 pounds.
