What are the responsibilities and job description for the Fleet Specialist position at Andersen Windows & Doors?
The Fleet Specialist will assist the Operations Supervisor over Fleet and will support Andersen's private fleet drivers in ensuring that they have the tools and information to execute their work, in their role, and collaborate with other departments to ensure a smooth information flow and on time delivery
PRIMARY RESPONSIBILITIES:
Driver Safety
- Maintain compliance – JJ Keller Driver Profiles and DOT records are up to date
- Coordinate any required training and certifications are conducted.
- Schedules fleet drivers and contract carriers based on DOT regulations, company policy, and carrier vendor availability.
- Must have ability to give scheduling direction to drivers while enforcing all DOT and company safety policies
- Ensure all drivers each period perform Incentive Service Safety Training
- Perform Safety Ride a Longs & help with retraining drivers who are exceeding Performance points due to accidents
- Participates in fleet Safety implementation
Equipment Inventory and Yard Check
- Complete yard check to ensure smooth operation of the warehouse. The right mix at the right time
- Request and ensure yard checks are completed at the domicile location at a minimum weekly
- Manage trailer inventory (tracking)
Equipment Maintenance and Repairs
- Coordinate with drivers and Ryders to ensure equipment is PM on time
- Coordinate with drivers and Ryders to ensure repairs are completed
- Ensure tags and permits are up to date
Driver Tools, Technology, and Assistance
- Assist drivers with any technical or operational needs regarding Omnitracs, Concur, etc.
- Collaborate with drivers to ensure plan is feasible and executed with follow up to ensure complete and on-time delivery.
- Must evaluate and report carrier and private fleet driver performance
- Communicate to CERT and document delays and disruptions to delivery routes
- Communicate Route Assignments to the drivers.
Voice of the Driver
- Gather information and from driver forms to provide operational feedback to the warehouse team.
- Present these findings in a way to highlight the biggest obstacle for the drivers to be successful. This information is provided from the Load Feedback forms and the OSD forms
- Ensure returns are known and tracked thru the process to ensure timely turnaround back to the customer.
- Collaborate with other departments to ensure smooth information flow - Work with receiving, loading, office, Trans Ops, CERT, sales, customers, etc. to coordinate information and material flows throughout the supply chain. Develop and communicate recovery plan for any deviations to the original plan
- Continuous Improvement, Projects, and Perform root cause analysis - Able to utilize AMS strategies to lead and participate in continuous improvement activities as well as larger projects. Able to utilize problem solving methods and drive corrective actions across the supply chain. Must be able to resolve conflicts and issues independently without supervision
- Back-up Fleet Supervisor - Backfill fleet supervisor when (s)he is not available due to PTO, training, ride-alongs, etc. in most of their duties. Expectation does not include supervisory duties, including hiring, discipline, etc. Must be budget minded and have ability to examine and report transportation costs
- Other duties as assigned by manager.

MINIMUM QUALIFICATION, SKILL AND/OR COMPETENCY REQUIREMENTS
- Must have excellent time management and organizational skills
- Must have effective communication skills - ability to email, text, call, and message individual and groups
- Must be detail oriented
- Must be able to collaborate with different levels of the organization and be team-oriented
- Must have effective computer skills with emphasis on Excel, Outlook, Teams, and willingness & ability to learn WMS
- Must have an extensive knowledge of DOT, OSHA, rules and regulations
- 5 years in the transportation industry (driver, dispatcher, fleet lead etc.)
- Servant leadership, working to support the needs of the fleet and the business
- Completed AMS training or complete it within the first 12 months in the role
- Availability to work overtime when needed. All overtime will be based on business needs and demand
Preferred:
- Experience with Omnitracs software
- Driving experience (CDL A certified)
- College degree 3 years of equivalent experience
