Job Purpose:
To manage the front desk and provide administrative support across the organization. The Receptionist will handle the flow of visitors through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
Key Responsibilities:
Guest Relations:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and/or conference room.
- Provide basic and accurate information in-person and via phone/email.
Phone Management:
- Answer, screen, and forward incoming phone calls.
- Maintain a professional and courteous phone manner.
Administrative Support:
- Assist with scheduling and calendar management within Google Calendar.
- Perform clerical duties such as filing, photocopying, transcribing, and faxing.
- Update calendars and schedule meetings.
Mail and Deliveries:
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, announce visitors, etc.).
Office Maintenance:
- Ensure reception area is tidy and presentable with all necessary stationery and materials (e.g., pens, forms, and brochures).
- Inventory front office supplies, restock refreshments, and clean reception area, waiting area, and break room.
Required Qualifications:
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Willingness to travel to other office locations for coverage as needed.
- Previous experience in the legal/tax industry is a plus.
- Proficiency in Microsoft Office and Google Suite.
- Hands-on experience with office equipment (e.g., fax machines and printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills with the ability to prioritize tasks.
- Customer service attitude.
Preferred Qualifications:
- Associate’s degree preferred; certification in Office Management is a plus.
- Additional certifications or coursework related to office management or customer service.
