Job Summary
The Project Coordinator will support multiple team members and provide contract and financial management support from the beginning to the end of construction projects while maintaining a high level of customer service.
Duties/Responsibilities
· Provide administrative support to project team.
· Responsible for all contractual and administrative procedures including project set-up, invoicing, project closing
processes and all paperwork related to the project.
· Enter subcontractors and suppliers into systems, set up contracts and vendor files electronically and maintain accurate
computer files.
· Review vendor invoices prior to project manager approval.
· Verify contract totals for sub-contractors and material purchase orders.
· Prepare and track change orders and proposal requests.
· Prepare Operations & Maintenance Manuals for owners.
· Assist with permit applications.
· Assist in the bidding/estimating process by acquiring necessary bid documents, plan distribution, making phone calls to
subcontractors, sending out an invitation to bid on each project.
· Draft proposal letters, as necessary.
· Handle call lists and follow-up, invitations to bid, distribution of plans and specifications, maintaining plan-holders lists, and
participation in bid day (opening bids, typing of bid tabulations, etc.).
· Verify contracts to meet insurance and any other contract requirements.
· Archive jobs, organize and plan meetings, prepare meeting minutes.
· Responsible for verbal and written communication with client/owner, architect, subcontractors, project superintendent and
other internal and external resources to ensure the highest levels of customer satisfaction are maintained.
· Proficiently utilize all aspects of the company database and filing systems and adapt to new procedures when required.
Qualifications
Minimum Qualifications
· Five years administrative experience with knowledge of the construction industry
· Billing and accounting experience
· Proficiency in Microsoft Office, PDF systems and Sage Construction
· Strong organizational and problem-solving skills, and attention to detail
· Excellent verbal and written communication skills and customer service skills
· Ability to work effectively with others with a high level of professionalism
· Ability to work independently and multitask in a fast-paced environment
Preferred Qualifications
· Associates degree or higher
Working Conditions/Physical Requirements
· While performing the duties of this job, the employee is not exposed to extreme conditions.
· Ability to work in an office environment with sedentary to light physical strength requirements occasionally
exerting up to 20 lbs.
· Remains in stationary position most of the time.
Travel Requirements
Travel may be required.
