Overview: We are seeking a highly professional and detail-oriented Executive Assistant to support our executive team. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, the ability to manage multiple priorities, and a strong sense of discretion. This role is critical in ensuring seamless daily operations and facilitating the efficiency of our leadership team.
Key Responsibilities:
· Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.
· Prepare and organize all paperwork, reports, and materials necessary for meetings.
· Complete and submit credit applications, vendor forms, and other necessary business documents.
· Maintain office supplies within the executive wing, ensuring all materials are stocked and readily available.
· Oversee accommodations and office readiness for executives and clients visiting from out of town.
· Take meeting notes, summarize key action items, and follow up on deliverables as needed.
· Respond to emails and phone calls professionally and efficiently on behalf of executives as directed.
· Handle confidential information with the utmost discretion and professionalism.
· Coordinate travel arrangements, including flights, hotels, and transportation.
· Run work-related errands as required to support executive operations.
Qualifications & Experience:
· Bachelor's degree or equivalent experience in an executive support role.
· 5 years of experience supporting C-level executives in a fast-paced environment.
· Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
· Excellent verbal and written communication skills.
· Proven ability to multitask, prioritize, and work under tight deadlines.
· Professional demeanor with a high level of discretion and confidentiality.
· Strong attention to detail and organizational skills.
· Ability to anticipate needs and proactively address challenges.
