Job Summary

The Front Office Assistant serves as the first point of contact for visitors, clients, and employees, ensuring an exceptional customer service experience. The role involves managing front desk operations, answering inquiries, directing calls, scheduling appointments, and maintaining office organization. This position requires excellent communication, multitasking, and organizational skills.


Key Responsibilities

  1. Front Desk Operations:

    • Greet visitors and clients professionally, creating a welcoming environment.
    • Answer and direct phone calls, emails, and in-person inquiries efficiently.
    • Maintain the appearance and organization of the reception area.
  2. Administrative Support:

    • Schedule and coordinate appointments, meetings, and conference room bookings.
    • Manage incoming and outgoing mail and deliveries.
    • Assist in maintaining office supplies inventory and placing orders as needed.
    • Handle data entry and filing tasks as assigned.
  3. Customer Service:

    • Provide accurate information about the company, its services, and policies.
    • Handle customer complaints or refer them to the appropriate department.
    • Assist with visitor check-in procedures, including maintaining a visitor log.
  4. Coordination and Communication:

    • Act as a liaison between departments to facilitate communication and coordination.
    • Support internal team members with administrative tasks when needed.

Qualifications

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and office equipment (e.g., printers, scanners).
  • Strong organizational and time-management abilities.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Professional appearance and demeanor.

Salary : $18 - $24
