We have an excellent DIRECT HIRE opportunity with a well-known accounting firm! Are you an organized, detail-oriented administrative assistant with a passion for accounting? Our client is looking for an experienced individual to support their Tax Department. There are approximately 25 people in this group. You will play a key role in ensuring smooth operations during tax season and beyond. This position is full time, Mon-Friday with overtime on Saturdays during tax season (Jan-April). Pay is $25-27 hourly and PAID Parking!

Responsibilities

You will assist in the preparation and submission of tax documents using digital platforms and tax software. You will work with tax professionals, clients, and other departments to ensure timely and accurate filing of tax returns, tax document management, and customer service. The candidate we are looking for should have general knowledge of the tax return process, resolve issues and provide quality services to their clients, and be willing to team with internal contacts to answer questions.

  • Manage information flow for clients including : scanning of client tax return source data and control of original source documents, scanning client monthly investment statements and all other miscellaneous client / department documentation.
  • Perform administrative duties related to engagement letters with clients including electronic preparation, scanning / tracking of signed letters and input of future invoices.
  • Interface with clients at all levels and respond to requests for information via phone or email while maintaining and protecting confidential matters.
  • Maintain electronic filing functions.
  • Schedule meetings, handle travel arrangements, track and submit billing, prepare agenda for meetings and distribute minutes.
  • Register staff for training.
  • Manage temporary help during busy season.
  • Send out client informational emails and webinar invitations.
  • Attend roundtable discussions and make suggestions on process improvement
  • Cover reception, process mail, prepare daily deposits, order supplies, print and bind financial statements,
  • Send out mass mailings of tax return organizers
  • Other duties as assigned

Education

Associate or bachelor's degree in a related field or accounting

Experience

  • 3 years of administrative experience
  • Either accounting experience or knowledge
  • Excellent computer / software skills
