General
Intake Coordinator responds to Client (s) / Patient (s) and
Referral (s) need (s), including the following:
1) producing billable orders from intake to invoicing
2) answering phone calls, Responding to fax (s) and email request (s)
3) attentive to timeliness in follow-through of required documentation
Responsible To
Intake is directly responsible to Appalachian Medical llc Member (s) /
Manager (s) and other manager (s) above them as defined in the company's organizational chart.
Educational Qualifications/Experience
Should have a high school diploma or G.E.D. with a minimum of 2 years of CSR ex- experience
Able to function as a polite and cooperative team member with a positive attitude
Good computer skills
Good oral and written communication skills
Detail oriented
Able to work independently with minimal supervision
Able to handle multiple tasks with numerous interruptions.
Physical Qualifications
In an average 8 hour day the employee lifts/carries up to 20 pounds frequently.
In an average 8 hour day the employee stands/walks 2 hours.
In an average 8 hour day the employee sits 4 hours, including data entry/phone work.
In a average 8 hour day the employee drives 2 hours
The employee lifts/carries up to 50 pounds maximum.
The employee must be neat and clean in accordance with the employee handbook
On Call
Periodically available for non-office hours.
Willing to be trained in pertinent area of equipment/supplies.
Good driving record.
Responsibilities and Duties
Sales order entry
Monitor / resolve outstanding sales order report (s), ensuring timeliness of order confirmation.
Monitor / resolve Prior Authorization report (s), ensuring all orders requiring a prior authorization are entered in the system and flagged for PA, and are followed in a timely manner to ensure lower DSO.
Customer Service Description con’t
Monitor/resolve CMN Past Due reports with a goal of no CMNs over 30 days aged.
Coordinate with other team members (s) to ensure all paperwork is accurate / corrected in order to produce a billable package for reimbursement.
Reliable transportation to and from work
Other duties as assigned by the Manager (s) above Customer Service
Position Status
Intake Coordinator position is full-time, defined as 40 hours a week. The hours are
Monday through Friday, 9:00 am until 5:00 pm. It may be necessary at times to change the hours of work to accommodate the needs of our customers.
