License/Certification Required Essential Job Functions

The Cannon Music Camp Administrative Coordinator will play a vital role in ensuring the smooth operation and success of Cannon Music Camp. This position will serve as the administrative backbone of the camp, supporting the camp director, faculty, staff, and participants to create an enriching and memorable musical experience for young musicians.

The Cannon Music Camp Administrative Coordinator will provide comprehensive administrative support to facilitate efficient camp operations, including managing registrations, coordinating schedules, and handling communications; serve as a central point of contact for students, parents, staff, and University partners, ensuring clear and timely communication among all stakeholders; utilize strong organizational skills and technological proficiency to streamline processes, maintain accurate records, and support the logistical needs of the camp; assist in creating a welcoming and inclusive environment that fosters musical growth and positive experiences for all camp participants; support the camp director and faculty in implementing the educational and artistic vision of the program through efficient administrative practices; and contribute to the overall success of the camp by demonstrating flexibility, problem-solving skills, and a commitment to excellence in all tasks.

Knowledge, Skills, & Abilities Required For This Position

  • Software Proficiency:
  • Fluency in the use of all Google Workspace applications (Google Docs, Sheets, Slides, Forms, and Calendar)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Mail Merge)
  • Zoom
  • Music-Related Knowledge (Experience or background in music extremely helpful but not required):
  • Familiarity with music terminology and practices
  • Basic understanding of music experiences familiar to a K-12 student
  • Knowledge of the camp operation and camp history is helpful through review of the camp website
  • Administrative Skills:
  • Excellent organizational abilities and attention to detail
  • Proficient in data entry, digital file organization, and digital record-keeping
  • Ability to manage schedules, coordinate events, and handle logistics for meetings and travel

Monday-Friday, 8:00 AM - 5:00 PM, as well as nights and weekends during the camp session to meet the responsibilities of the position.

Information/Records Administration

  • Process applications to camp
  • Download new registrations from Iris Registration System to the registered camper spreadsheet, typically 2-5 times per week
  • Check on any application component submissions that have recently been received, typically 2-5 times per week
  • Follow up with campers/families on incomplete application components as needed
  • Send reminders about payment due dates and other important dates
  • Notify campers and families once acceptance is confirmed
  • Email or call individuals/families if not progressing through remaining application steps
  • Connect with Conference and Event Services staff for technical questions and assistance with troubleshooting and refunds
  • Process scholarship applications and awards
  • Enter contact information and scores from handwritten audition sheets (about 200 per year) into a spreadsheet to calculate scholarship award amounts
  • Use mail merge to generate PDFs or emails notifying students or teachers of their scholarship awards (typically emailing around 1,200 scholarship offers each year of camp)
  • Once per week, inform Conference and Event Services of scholarship amounts to apply to specific registered campers
  • Use software and resources to manage camp data
  • Create, edit, and manage spreadsheets of campers, scholarships, and other camp information
  • Use spreadsheet features such as formulas, filters, conditional formatting, mail merge, integration with Google Forms, etc.
  • Duties may include editing the Cannon Music Camp website (Drupal training will be offered if so; HTML knowledge is not required)
  • Use appropriate information security procedures when handling camper information.

Customer Service

  • Provide excellent customer service to prospective and current campers
  • Respond to emails and phone calls to the main Cannon Music Camp office, particularly those regarding the camp admissions and scholarship process within 24 hours.
  • Develop expertise on the many aspects of the application process and the camp's overall functioning, and be able to explain these to customers and teachers
  • Interact with the various constituencies that are a part of the Camp: Campers, Parents, Public/private school music teachers, Faculty, Staff, Camp Director, University partners

Program Administration

  • Develop camp documents and processes
  • Assist in creating/revising the new registration forms and processes for the coming camp year
  • Review the camp website, handbook, faculty meeting agendas, and other recurring documents to update dates, names, links, and information that may change year to year
  • Other scheduling, research, and administration tasks
  • Search for and update music teacher email addresses as needed to deliver scholarships
  • Organize faculty trips to audition sites (District Band, Region Orchestra, All-State, etc.)
  • Collect information on the audition sites and dates in order to inform faculty and easily submit travel authorizations
  • Connect with high schools and honors ensemble coordinators to request a location for our faculty to hear auditions
  • Organize employment applications for Director and panel to review
  • Send surveys to employees and follow up on any information needed by the camp administration
  • Collect or analyze information as requested by Director and Community Engagement Specialist
  • Other duties as assigned
  • Promotion of the camp
  • Attend conferences, prospective student days, honors ensemble concerts, and similar events in order to promote the camp (as assigned by Director and Community Engagement Specialist)
  • Collect materials and prepare for conferences and other advertising events even if not attending
  • Post to social media under the guidance of the Director and Community Engagement Specialist
  • Take photos of interesting activities at camp
