We’re looking for a team-oriented and driven individual to hit the ground running and join our growing team. The successful candidate will work with others to ensure our daily catering operations and special events run efficiently while upholding our excellent customer service.
Duties & Responsibilities of the Catering Event Coordinator include:

- Serving as primary point of contact for events from inquiry, booking, invoicing and through their event completion
- Managing intake of all leads and requests
- Providing exceptional service, addressing concerns, and ensuring a positive client experience
- Giving tours of Grandview Ballroom
- Discussing and agreeing on rental terms, prices, and services with clients
- Detailing the food and beverage, room layout, linens and other rentals, event timeline and additional needs of each request
- Overseeing the execution of events from conception to completion, and providing on-site support during events as needed
- Maintaining accurate and detailed paperwork for each booking
- Collaborating with our chef on custom menu requests
- Collaborating with our hospitality team on logistics and special requests
- Generating new business, developing leads, and upselling events
- Managing and organizing multiple events and client conversations throughout the day

Preferred Qualifications
- Graduation from a four-year college or university with a degree in Hospitality, Tourism, Food and Beverage Management, Business, Sales, Marketing, or a degree closely related, or an equivalent combination of training and experience.
- 1 or more years of experience in hospitality, event planning, food and beverage or related industry.
- Experience in venue, banquet and/or catering event management
- Marketing experience and/or the ability to develop and implement effective strategies for promoting and increasing catering orders as well as Grandview Ballroom bookings.
- Any event planner certification, ServeSafe, TIPS / ALE Bartender training

Required Functional Competencies to Successfully Perform Job Duties.
Professional Knowledge:
- Knowledge of Grandview Catering & Events policies and procedures, along with industry best practices for event planning
- Ability to assess the clients’ needs and work on event logistics to assist
- Suggest changes and improvements to current SOPs as needed
- This person will need to be well versed in catering menus, staffing and set up techniques, and function locations across campus.
- Work with the catering staff and Chef for specialty requests for catering.
- Work with other departments across campus in planning events, from the smallest supply order to the largest whole campus events.
- Lead tours of the Grandview space for new clients or for sound checks, equipment drop off, etc. when the Director of Catering and Grandview is not available.
Consultancy Skills:
- Ability to communicate effectively with clients to understand their needs and wants for each event, and guide them appropriately to select menus and other details.
- Ability to collaborate with clients, multiple team members, and other departments as needed.
- Identify potential complications in an event plan in advance and work with the client and/or team members to avoid or resolve potential issues.
- Ability to problem solve and accommodate special requests.
- Work with Directors on building campus and community relationships.
- Offer recommendations on best practices and research new tools and equipment to assist in more efficient operations.
Information Analysis/Decision Making:
- Ability to work independently on multiple projects and make decisions with and for the client.
- Ability to develop and improve current strategies to best serve the Appalachian campus and community through catered events.
- Regularly review our pricing, policies, contracts and procedures.
Pay will be commensurate with applicant competencies, budget, equity and market considerations.
