Job Overview:
Our law firm is seeking a friendly, detail-oriented Receptionist and Administrative Assistant to join our team. This position is essential in supporting our day-to-day operations, managing client interactions, and ensuring efficient administrative workflow. The ideal candidate will be proactive, organized, and committed to delivering excellent service to our clients.
Key Responsibilities:
- Client and Office Support: Answer phones, greet visitors, and assist clients professionally and courteously.
- Document Management: Process incoming/outgoing mail, scan and file client documents, and maintain organized electronic files.
- Banking and Deposits: Conduct weekly banking deposits for funds received at the Carmel location.
- Administrative Tasks: Handle building supply orders and various office administrative responsibilities.
- Electronic Document Processing: Prepare and electronically submit essential documents, including VA and Medicaid applications.
- Scheduling: Coordinate and schedule client meetings as required by the team.
- File and Case Management: Keep client files updated with progress notes and document collection status.
- Legal Documentation Preparation: Organize and prepare legal documents for signing, ensuring accuracy with notary requirements and details.
- Life Care Planning team administrative support.
Qualifications:
- Previous experience in a law firm or administrative setting is preferred.
- Excellent communication and interpersonal skills.
- Strong attention to detail and ability to handle confidential information.
- Proficiency in Microsoft Office Suite; experience with legal or client management software is a plus.
- Ability to manage multiple tasks efficiently and adapt to changing priorities.
