Job Description
The Project Manager is responsible for overseeing assigned projects ensuring they are completed within allocated resources and on schedule. They work in conjunction with the Operations Manager, under the supervision of the VP of Tech Services.
Key Responsibilities
- Provide direction and assign duties to technical staff assigned to projects, in conjunction with the Operations Manager and VP of Tech Services.
- Offer regular communication to internal team members and clients regarding project status, coordinating this with the Operations Manager.
Project Management Tasks
- Participate in internal kick-off meetings with Sales, Engineering, and Operations to determine priority tasks (site survey, client information gathering, etc.).
- Attend sales-related client meetings as needed.
- Read and understand project Statements of Work.
- Conduct pre-installation walkthroughs to ensure customer responsibilities have been met (power, network requirements).
- Represent AVT at construction meetings on assigned projects and communicate current project schedule and status relative to AV.
- Conduct site surveys/info gathering with the Engineering team to assess site preparedness, room dimensions, parking/unloading, etc.
- Communicate resource and equipment needs to the VP of Tech Services and Operations Manager, identifying any requirements for rough-in work prior to scheduled installation dates.
- Understand site safety requirements and ensure AVT technical staff adheres to policies.
- Work with Operations Manager to obtain required permits.
- Collaborate with Operations Manager and Warehouse Manager to confirm all materials have arrived, been tested, and staged prior to scheduled delivery dates.
- Utilize Zoho software to manage projects, prioritizing tasks, and utilizing the Gantt chart feature.
- Obtain quotes from subcontractors when necessary, or coordinate this with Operations Manager.
- Coordinate with programmers to generate control specs and obtain approval from clients when required.
- Communicate with clients to gather IP addresses, logos, etc.
- Work with lead installers to ensure project understanding before going onsite.
- Kick off installation teams onsite for each assigned project.
- Serve as the primary point of contact for technical staff.
- Submit regular progress reports internally and to clients, ensuring all parties involved are copied.
- Generate and communicate punch lists to AVT team members and clients.
- Communicate with the Director of Systems Design and Engineering regarding any questions or issues arising during installations.
- Schedule and complete final walkthroughs with clients to achieve project acceptance.
- Identify and manage the submission of change order requests to Sales, actively pursuing approval to avoid project delays.
- Coordinate the preparation and submittal of standard AVT closeout documentation, along with any additional requirements per project.
- Analyze budget and labor costs throughout and following completion of each project by reviewing technician's timesheets per project.
- Meet weekly with the VP of Tech Services and Operations Manager to review and assign resources to projects.
- Collaborate with the VP of Tech Services and Operations Manager to continually improve efficiencies in-house and in the field.
- Assist in the development and maintenance of the subcontractors list.
- Ensure that any subcontractors used on projects comply with AVT's requirements.
- Review bills from specialty vendors and subcontractors to ensure they are within budget for the project.
