Arcadia Tax is a rapidly growing tax practice that has completed two acquisitions. The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior customer service to the firm’s prospects and clients.
The Tax Administrative Assistant (TAA) will be responsible for
We have two office locations: Manchester, NH and Andover, MA.
JOB DUTIES:
DAILY
- Give general Administrative support to tax team
- Follow up with Projects/Assignment tasks in Office tools make sure team is on track
- Set up new clients in all systems
- Update client info update in all systems
- Coordinate executive communications between clients and the business, including taking calls, responding to emails, and interfacing with clients’ messages to the appropriate team member and management
- Schedule meetings or telephone conferences between clients and TAX management
- Manage Client info Database
- Manage EMAILS
- Manage Project Management Software – OFFFICE TOOLS
- Manage WORKFLOW STATUS in Office tools from START TO COMPLET STATUS.
- Responsible for creating/ finalizing processes for Tax team and recording it in Microsoft OneNote
- Record notes from every client conversation in the PMS/CRM
- Maintain an organized, compliant, and efficient e-filing system- PRO SERIES
- Assist with copying or scanning as requested by the team
- Responsible for billing and payments
- Sort and distribute all incoming emails and mail as needed
- Monitor portal for incoming documents sent by clients, and updating accordingly
- Monitor scanned/faxes files and DocuSign files
- Monitor payments made through Portal
- Monitor voicemail and directing accordingly
WEEKLY
- Attend weekly staff and tax planning meetings
- Report weekly activities on outstanding tax business
- Ensure pending tax business is efficiently being processed
- Generate reports/auditing and monitoring reports from OFFICE TOOLS
- Follow up as needed with clients or accountants about missing docs/info
- Audit online client forms for new clients and client info update, maintaining all security protocols
MINIMUM REQUIREMENTS:
- Bachelor’s degree
- At least 1 year experience in administrative assistance
- Excellent written and oral communication skills
- Ability to organize, prioritize, and solve problems
- Exceptional computer skills
STRONGLY PREFERRED:
- At least 1 year experience in tax office admin
- Proficiency with multiple tax software, as well as Microsoft Office
- Reliable transportation to and from our Manchester, NH and/or Andover, MA office locations
- Flexible schedule availability during tax season to ensure our clients and tax team are supported throughout
PERSONAL SKILLS
- Ability to interact and work closely with clients to answer questions or to collect necessary information for tax service requirements
- Extremely organized
- Ability to work in a faced-paced environment
- Willingness to cope with changes
- Must be a positive contributor to the team by supporting and executing projects and be a strong team player who wants their voice heard and is receptive to constructive feedback
- A history of building relationships with clients and colleagues

Job Type: Full-time, In-Person
Salary: $50,000 - $55,000 per year
