What are the responsibilities and job description for the Retreat & Event Coordinator - Retreat Center position at Archdiocese of New Orleans?
JOB SUMMARY:
The Retreat and Event Coordinator is responsible for the booking, coordination, and
facilitation of all sponsored and hospitality events hosted by The Cenacle on the Lake.
ESSENTIAL FUNCTIONS:
• Implements the archdiocese's mission and philosophy as it relates to the mission of The
Cenacle on the Lake
• Maintains a professional, compassionate and welcoming attitude toward staff, volunteers, and
guests.
• Assists Executive Director in the planning and preparation of the retreat schedule for each
year.
• Manages sponsored event dates and times on the TCL calendar and updates accordingly.
• Generates and completes usage agreements for hospitality events using e-contracts/Contract
Works.
• Facilitates the booking of retreat presenters, musicians, spiritual directors, and priests
for each event.
• Facilitates registration by verifying information, assigning rooms, and preparing
schedules/materials prior to the event.
• Submits stipend requests any event deposits or payments received to Administrative Assistant
for processing.
• Communicates with the retreat captains and in a collaborative effort to encourage higher
retreat participation.
• Maintains a record of revenue generated and number of participants per event on an ongoing
basis.
• Updates Constant Contact database with new and updated constituent information on a routine
basis.
• Prepares for the welcoming of groups, including preparing light breakfast, coffee, iced tea,
and water set-ups.
• Maintains checklists/tracking information for sponsored and hospitality events.
KNOWLEDGE, SKILLS & ABILITIES:
• Strong interpersonal and communication skills
• Strong organizational skills and ability to multi-task
• Knowledge of event planning and coordination
• Proficiency in Microsoft Office, Canva, and database systems preferred
• Ability to work independently and as a team
QUALIFICATIONS/EXPERIENCE:
• 2 years of experience in the hospitality industry preferred
• 2 years of experience in a ministry environment preferred
• Preference will be given to those who follow the tenets of our Catholic faith.
