Administrative Assistant/Parish Life Coordinator
I. POSITION PURPOSE
The purpose of this position is to provide administrative support for parish office and parish life operations for the San Juan Island parishes Friday Harbor, Orcas, and Lopez in the context of the new Parish Family #1 of the Partners in the Gospel Process of the Archdiocese of Seattle. This is a 30 hour per week, Monday thru Friday, non-exempt position.
II. ESSENTIAL POSITION FUNCTIONS
- Answer phone, greet and assist visitors, prepare and process daily mail.
- Database management and coordination. Create and send communications for digital and print in English/Spanish. Includes but not limited to, email, text messages through Flocknote, weekly bulletin, flyers, financial statements, etc
- Manages and maintains the St. Francis Xavier parish calendar. Coordinates facility usage for parish ministries and approved groups.
- Manages and coordinates the transportation schedule and arrangements for clergy, includes ferry, airplane and ground transport.
- Attend staff meetings, staff retreats, and participate with committee members as assigned.
- Maintain supply inventory and reorder as needed.
- Provide admin support for Faith Formation and other parish programs.
- Maintain the filing system and retention of all records and files.
- Works closely with the PAA and accountant to process invoices, and other financial responsibilities.
- Supports PAA with the Annual Catholic Appeal, Stewardship Campaign, other fundraising campaigns, and special collections.
- Administers the Archdiocese Safe Environment Program.
- Outside of primary responsibilities, provides general and specific administrative assistance to the Pastor, Vicar, PAA, and other Parish Family staff and volunteers as needed.
- Performs other duties as assigned.
- Willingness and ability to support the mission of the church.
- Active member of a parish/faith community and in good standing with the Church.
- Strong verbal and written communication skills; Bilingual Spanish/English preferred.
- Demonstrated leadership ability to work with a variety of people, including multicultural communities.
- Strong organizational, critical thinking, and problem-solving skills. Able to work alone and with others.
- Proficient in Microsoft Office Suite and Google Workspace.
- Experience with a database and online giving platform is highly desirable.
- Possess emotional intelligence skills and ability to build trust with the pastor, parochial vicar, leadership team, fellow staff members, and parishioners.
- Maintains a level of confidentiality and professionalism with regards to work/church related issues.
- Desire to grow in personal faith life and enthusiasm for sharing the joy of the Gospel.
- 2 years of demonstrated experience in professional administrative work.
- Parish or Catholic ministry experience a plus.
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicants skills and prior relevant experience, certain degrees and certifications.
