Job Summary:
The Staffing Coordinator will manage and coordinate staffing needs for our assisted living community across two campuses. This position ensures that adequate staffing is maintained to provide quality care for residents, while also supporting the human resources functions related to staff onboarding, scheduling, and turnover coordination. Position reports to the ED.
Key Responsibilities:
Approve Employee Timecards: Review and approve bi-weekly timecards for both campuses.
Manage Time-Off and Shift Requests: Approve time-off requests and shift swaps; ensure proper documentation and compliance.
Staff Scheduling: Create and maintain monthly staff schedules, adjusting as necessary to accommodate call-ins and staffing changes.
On-Call Duties: Be on-call for staff call-ins, coordinating replacement staff as needed, including acting as a replacement when required.
Turnover Tracking and Reduction: Monitor staff turnover rates and work with leadership to implement strategies for reducing turnover.
Staff Onboarding: Conduct onboarding for new staff, including completion of necessary paperwork and initial training.
Payroll Entry: Send payroll links to new staff and enter employee information, including I-9s, into Paychex.
Compliance and Background Checks: Coordinate ALEA background checks, TB tests, and ensure compliance with health insurance documentation.
Systems Management: Add new staff to ECP, OnShift, and PALcare systems.
Continuing Education and Training: Work with Directors of Nursing (DONs) to ensure all staff complete required continuing education and training.
Uniform and Supplies: Order name tags and staff uniforms.
Other Duties: Assist in tracking and improving staff efficiency and engagement through various administrative tasks. Manage visitor entry, deliveries, phone, and inquiries.
Work Schedule: The position includes working every other weekend and carrying an on-call phone for schedule-related emergencies. The Staffing Coordinator is also expected to work as a caregiver if urgent needs arise.
Qualifications:
- Previous experience in staffing, scheduling, or human resources, preferably in an assisted living or healthcare setting.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks and priorities in a fast-paced environment.
- Excellent communication skills and the ability to work well with others.
- Proficiency in staffing and payroll software, such as Paychex, ECP, OnShift, and PALcare.
- Must be flexible and available for on-call needs.
