Special Events and Social Media Coordinator
DESCRIPTION:
The Special Events Coordinator plays a pivotal role in planning, coordinating, and executing a range of special events. This position involves managing event logistics, vendor coordination, communication, and on-site execution to ensure successful and unforgettable events. This position involves working non-traditional hours, encompassing evenings, weekends, and holidays as prescribed by the demands of event schedules.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Plan, coordinate, and lead special events such as seasonal festivals, family programs, fundraisers, and community celebrations.
· Create and manage engaging content for social media platforms including Facebook and Instagram; respond to messages and comments in a timely manner.
· Maintain and monitor the District’s Yelp page, including updating business info and responding to reviews.
· Serve as the on-site lead during events, coordinating volunteers and staff, setting up/taking down materials, and troubleshooting in real time.
· Work with local schools and youth organizations to recruit and manage volunteers for events and programs.
· Take and edit photos and videos at events for use in marketing and promotional materials.
· Maintain event supplies and track spending to stay within budget.
· Prepare post-event reports, including financial summaries, attendance metrics, and feedback to present to the Board of Directors.
· Support flyer design, community outreach, and partnership development to promote District programs and services.
· Assist with general office coverage as needed, including answering phones, responding to inquiries, and supporting administrative tasks.
PHYSICAL DEMANDS:
While performing the duties of this position, the Special Events Coordinator may be frequently required to sit, stand, reach, walk, run, manipulate objects tools or controls, and communicate. The position may require mobility and the occasional lifting of objects weighing up to 50 pounds.
Manual dexterity and coordination may be required to operate.
PREFERRED KNOWLEDGE, ABILITIES, AND SKILLS:
· Work experience in municipal government and/or county level parks and recreation operations
· Knowledge of special event planning and understanding of recreation programming preferred.
MINIMUM QUALIFICATIONS:
· High school diploma or equivalent.
· Experience organizing events, working in customer service, or creating social media content (personal, school, or professional settings all count!).
· Ability to work evenings and weekends during special events.
· Comfortable using Canva, Instagram, Facebook, and email.
· Strong communication and organizational skills.
· Willingness to work outdoors and on your feet during events.
PREFFERED QUALIFICATIONS:
· Experience working with recreation programs, nonprofits, or a park district.
· Basic photo/video editing or graphic design skills.
· Bilingual abilities
· Familiarity with small-scale event planning and community engagement.
ADDITIONAL REQUIREMENTS:
- Must pass a Department of Justice background check
- Valid Driver’s License
