What are the responsibilities and job description for the SHIP ADMINISTRATIVE ASSISTANT position at Area Agency On Aging 1-b?
The SHIP Administrative Assistant will be responsible for triaging SHIP referral requests from the SHIP state call center, handling calls that come directly into the AgeWays phone system and responding to email requests from the AgeWays website. The SHIP Administrative Assistant will confirm appointments scheduled through the state call center, assist with volunteer scheduling for state call center appointments and provide general administrative support to the Outreach & Partnership Manager and the Volunteer Manager.
Duties Include:
- Triaging SHIP referrals from the state call center, AgeWays phone system and email for following-up on various inquiries, service support request, program enrollment/navigation needs.
- Confirmation of state call center appointments, assisting with monthly appointment schedule for state call center and Open Enrollment appointment scheduling including phone confirmation and mailing confirmation letters.
- Provide general administrative support to the Outreach/Partnership Manager and the Volunteer Manager as needed.
- Complete required trainings and recertification to maintain SHIP Counselor certification and other duties as assigned.

Minimum requirements include:
- High School/GED minimum, Associates Degree preferred.
- Minimum 1-2 years in non-profit administrative support and customer service.
- Must complete SHIP counseling certification within 6 months of hire.
- Intermediate Database Management & Microsoft 365 skills, including Word, Excel and Outlook Testing Required
- Knowledge of office management systems and procedures.
- Experience working with older adults and adults with disabilities.
- Excellent interpersonal, written and verbal communication, effective time management, prioritizing and multitasking abilities with attention to detail.
