Job Title: Operations Director
Salary: Starting salary is $85,000 annually and is negotiable based on experience
Position/Role: The Operations Director strengthens and supports a culture of integrity, compliance, efficiency, and customer service within ADP. The Operations Director ensures that the compliance, technology, security, and office management functions are aligned and support ADP’s objectives. The Operations Director provides leadership and managerial direction to all staff to support employee relations and strengthen organizational development. The Operations Director will report to and collaborate closely with the Executive Director on human resources, financial management, legal, and compliance matters, and the creation and implementation of internal policies and programs. The Operations Director directly manages the Operations Manager or Administrative Assistant.
Responsibilities:
Financial Management
Oversee the implementation of guidelines and financial controls that enable team members to approve spending according to budgets and limits agreed upon by the Executive Director
Manage the operational payables process including reimbursements to team members
Work with ADP’s treasurer and compliance team to ensure ADP’s accounting practices are compliant with legal requirements, and meet the operational needs of the organization and the needs of the ADP’s Chair and Executive Board
Oversee the contracting process with vendors and ensure satisfactory vendor compliance with contractual terms together with relevant department leadership
Legal & Compliance
Maintain basic knowledge of state and federal compliance and legal issues and developments that may impact ADP’s operations or political engagement.
Manage the operational review of contracts
Recruiting/Onboarding
Manage the recruiting process from inception to fulfillment, including but not limited to requirements gathering, status updates, and follow-up
Support the onboarding process from inception to fulfillment, including but not limited to requirements gathering, skill assessment, status updates, and follow-up
Maintain/manage job descriptions and Serve as the applicant/candidate point of contact
Assist in the development and evaluation of reports, decisions, and results of the department in relation to established goals
HR Policy/Process
Annually review and make recommendations to executive management for improvement of the organization's policies, procedures, and practices on personnel matters
Draft HR policies in accordance with executive management priorities
Perform customer service functions by answering employee requests and questions
Work with the Executive Director and department supervisors to assist in carrying out their responsibilities on personnel matters
Establish and see through annual or semi-annual performance management systems
Recommend, evaluate, and participate in staff development for the organization
Coordinate, analyze, or conduct exit interviews to determine reasons behind separations that may include follow-up
Compensation & Benefits Administration
Manage payroll company
Administer and communicate health and benefit plans including enrollments, changes and terminations. Process required documents through insurance and benefits
Work with providers to ensure accurate record-keeping and proper deductions
Assist executive management in the annual review, preparation and administration of the organization's compensation and benefit program
HR Systems & Compliance
Develops and maintains a human resource information system that meets the organization's personnel information needs
Responsible for the completion and accuracy of all personnel files, including I-9's. Conducts audits as needed and/or directed in compliance with applicable legal requirements
Communicates changes in the organization's personnel policies and procedures and ensures that proper compliance is followed
Consults with legal counsel as appropriate, or as directed by the ED, on personnel matters
