TITLE: Part-Time Events Coordinator
REPORTS TO: Director of Events
The Role
A part-time events coordinator supports the planning, organization, and execution of various events, including weddings, conferences, corporate meetings, banquets, private meals, and social gatherings. They serve as the secondary point of contact between clients and the Director of Events, assisting in coordination and ensuring smooth event operations. As Arrels’ events coordinator, maintaining established event standards and protocols is crucial for ensuring guest satisfaction and enhancing efficiency in assigned duties and responsibilities.
Events Coordinator Requirements
- Ability to stand for extended periods and work flexible schedules, including weekends and holidays.
- Capability to reach, bend, and frequently lift up to 30 pounds.
- Strong passion for hospitality, service, and creating memorable guest experiences
- Ability to work under pressure and adapt to last-minute changes
- Excellent multitasking and organizational skills
- Strong attention to detail and problem-solving abilities
- Effective communication and interpersonal skills for interacting with clients, vendors, and team members
- Knowledge of food and beverage operations, including catering and banquet services, in addition to all event spaces
- Ability to coordinate with multiple departments, such as kitchen, banquet, and housekeeping teams
- Professional demeanor with a team-player attitude
- Must maintain a professional appearance with appropriate work attire and personal grooming at all times, as you represent the company's image.
Key Responsibilities and Accountabilities
- Assist in the organization and execution of various events
- Collaborate with the Director of Events on the daily basis
- Help create event timelines, seating arrangements, and floor plans as and when required
- Support vendor coordination, including décor, AV equipment, and entertainment
- Ensure all client preferences and special requests are properly documented and executed
- Serve as a secondary point of contact for clients, responding to inquiries/leads
- Conduct site visits and assist in presenting event space options to potential clients
- Oversee event setup and breakdown, ensuring all elements meet client expectations and hotel standards
- Assist in promoting event services through marketing materials
- Assist in building relationships with local businesses, event planners, and vendors to increase event referrals
- Attend networking events or industry expos to represent the hotel’s event services as and when required
- Any tasks not mentioned above and assigned by the Director of Events
