Job Title: Human Resources Generalist
Location: Poughkeepsie, NY (with occasional travel to Malta, NY)
Reports to: VP – Human Resources
Classification: Non – Exempt
Rate: $25 - $35 /hour
Position Summary:
We are seeking a dedicated and proactive Human Resources Generalist to join our team. The anticipated schedule is Monday-Friday, 40 hours, or 35 hours for flexibility. The ideal candidate will have 2-5 years of experience in HR and be capable of providing comprehensive HR support across various functions including recruitment, onboarding and offboarding, benefits administration, payroll, compliance and employee relations. This role offers an exciting opportunity to contribute to the success of a growth-oriented, fast-paced organization as part of an expanding HR team.
Key Responsibilities:
- Recruitment & Onboarding:
- Assist with recruitment coordination and tracking, including job postings, resume screening, interview scheduling, and candidate communications.
- Help develop and support onboarding processes for new hires and rehires, ensuring they complete all necessary documentation and receive a smooth introduction to the company culture.
- Payroll:
- Weekly payroll audits as assigned by Payroll Manager
- Time and attendance entries and payroll entries, and payroll reports as requested
- Benefits Administration:
- Provide assistance with communication between employees and various benefits vendors. Will be working with Benefits Broker to ensure all documents are updated and available
- Assist with benefits enrollment, changes, and inquiries, utilizing new electronic benefits administration system, including all aspects of Open Enrollment in Spring.
- HR Administration:
- Maintain and update employee records in the HRIS (Human Resource Information System, and paper files, if needed).
- Assist with preparing HR reports and documentation for internal and external audits.
- Process HR paperwork such as leaves of absence, terminations (off-boarding), and other employee status changes.
- Compliance & Policy Adherence:
- Ensure adherence to HR policies, employment laws, and company regulations.
- Help track and manage compliance-related tasks (e.g., training, certifications, health & safety protocols) including updating various boards in all locations and ensuring current documents are available on ADP Home Page
- Training & Development:
- Assist with the coordination of training programs and employee development initiatives.
- Maintain records of training completion and assist in scheduling training sessions.
- Employee Relations and Corrective/Disciplinary Action
- Address employee inquiries and concerns in a timely and professional manner, providing guidance on HR policies and procedures.
- Assist in resolving employee issues, escalating when necessary, and fostering a positive work environment.
- Additional Support:
- Provide general administrative support to the HR team as needed, including organizing paper HR files, updating necessary documents, keeping phone and email distributions lists current, preparing materials for audits and meetings
- Assist in transferring to electronic files and ensuring terminated employee files are archived.
- Creating SOP’s (Standard Operating Procedures) for HR department
Qualifications:
- Bachelor’s degree in human resources, Business Administration, or a related field is preferred but not required. Some college is strongly preferred.
- 2-5 years of experience in an HR generalist role. Experience as an HR specialist will also be considered.
- Experience in manufacturing, transportation, warehousing, construction and other related industries is helpful.
- Strong knowledge of HR practices, employment law, and compliance requirements.
- Experience with HRIS software; familiarity with ADP Workforce Now is strongly preferred. Prior payroll experience is required (ideally using ADP)
- Excellent communication, interpersonal, and problem-solving skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Technology-savvy with a high level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and reporting.
- Ability to maintain confidentiality and handle sensitive information.
- A proactive, team-oriented attitude with a willingness to take initiative and solve challenges.
