Payroll Specialist Job Description
We are searching for an experienced Payroll Specialist to manage payroll operations, ensuring accuracy, compliance, and efficiency. This role will be responsible for processing payroll, maintaining employee records, handling tax filings, and supporting HR and accounting teams. The ideal candidate has experience with union payroll, multi-state payroll processing, and payroll systems such as ADP, Trimble, or Spectrum.
Key Responsibilities
- Process weekly and semi-monthly payroll for employees across multiple states and unions.
- Maintain accurate payroll records, including wages, deductions, and tax withholdings.
- Ensure compliance with federal, state, and union payroll regulations, including Davis-Bacon Act requirements.
- Coordinate with HR and Accounting on payroll changes, benefits, and direct deposit processing.
- Prepare and submit payroll tax filings, certified payroll reports, and union fringe benefit reports.
- Assist with audits, year-end reporting, and W-2 preparation.
- Identify and implement process improvements in payroll operations and software systems.
Qualifications & Skills
- 5 years of payroll experience, preferably in a union or construction environment.
- Degree in Business Administration, Accounting, or related field (CPP/CPM certification preferred).
- Proficiency in ADP, Trimble, Spectrum, or similar payroll software.
- Strong understanding of multi-state payroll, tax compliance, and wage laws.
- Excellent organizational, analytical, and communication skills.
- Ability to work under tight deadlines in a fast-paced environment.
