As the Talent Acquisition Administrator at Ascent Aviation Services, you will play a vital role in supporting the Talent Acquisition team and contributing to the growth of our organization. Reporting directly to the Director of Human Resources, you will assist with various aspects of the recruitment process, ensuring a seamless and positive experience for candidates and new hires. Ascent is experiencing unprecedented growth with the launch of our new 777 program, supported by two new hangars. In 2025, we plan to hire over 250 people to meet the demands of this expansion! This position will play an integral role in helping the company achieve these ambitious goals while contributing to a strong, talented workforce.
DUTIES/RESPONSIBILITIES:
· Conduct initial phone screens to assess candidate qualifications.
· Facilitate the interview process by scheduling interviews, sending reminders, and coordinating with interviewers.
· Schedule pre-employment drug screens and background checks.
· Conduct reference checks as needed.
· Complete pre-hire tasks in the HRIS system, ensuring accurate and compliant data entry.
· Conduct New Hire Orientation sessions, familiarizing employees with company policies and culture.
· Submit Personnel Action Forms (PAFs) for internal promotions and transfers.
· Refresh online job postings to maintain visibility and attract top talent.
· Write engaging job advertisements for social media and other platforms.
· Assist Talent Acquisition Partners with tracking metrics, generating reports, and updating job descriptions.
· Organize and maintain recruitment documentation and files.
· Contribute to special projects and support the team with other administrative tasks as needed.
Additional Responsibilities:
· Represent the company at career fairs and networking events, building relationships with potential candidates.
· Undertake special projects as assigned by the HR Director
Qualifications

EDUCATION AND EXPERIENCE:
Minimum Qualifications:
· High School diploma or equivalent.
· Minimum of one year of experience in an administrative position.
· Basic working knowledge of Microsoft Excel.
· Basic understanding of professional email etiquette, including proper spelling and grammar, is required to ensure clear and effective communication.
· Experience using Canva or a similar program.
Preferred Qualifications:
· Three years or more of HR administrative experience.
· Experience in administrative tasks related talent acquisition cycle.
· Bilingual in Spanish highly preferred.
· Comfortable public speaking in front of groups of up to 40 people at a time.
· Familiarity with HRIS systems (e.g., Paycom, ADP, Workday).
PHYSICAL REQUIREMENTS:
· Ability to sit or stand for extended periods.
· Occasional squatting, lifting, carrying, pushing, or pulling up to 20 pounds.
EQUIPMENT OPERATED:
· Telephone, personal computer, multiple printers, typewriter, copy machine, digital camera, and shredder.

WORKING CONDITIONS:
· Work primarily in the Human Resources building with frequent travel to various locations on base.
· Primarily works in an office setting with occasional travel for career fairs and events.
· Potential exposure to materials listed on Material Safety Data Sheets.

OTHER DUTIES:
· May be required to work at both Marana, AZ and Tucson, AZ locations as business needs dictate.
· Additional duties may be assigned at the discretion of department management.
