OBJECTIVE:
Ashby Lumber is seeking a detail-oriented and organized Accounts Receivable & Payable Coordinator to support both the accounts receivable and accounts payable functions. This role is responsible for processing customer payments, handling vendor inquiries, managing bank deposits, and assisting with invoice processing. Additionally, the coordinator will serve as the first point of contact for customer and vendor inquiries while providing occasional receptionist coverage. This position also provides backup support for the accounts receivable and accounts payable teams when team members are out of the office.
DUTIES AND RESPONSIBILITIES:
- Prepare and process daily cash deposits.
- Conduct bank runs to obtain change as needed.
- Post payments to customer accounts and deposit checks
- Act as the primary point of contact for customer and vendor calls related to accounts receivable and payable.
- Accept and process in-person customer payments.
- Scan invoices into the accounts payable system for processing.
- Provide receptionist coverage during lunch and breaks.
- Generate and distribute customer account statements on the first of each month, including weekends if necessary.
- Participate in accounts receivable meetings with management to discuss outstanding balances and collection strategies.
- Process invoices using OCR (optical character recognition) software.
- Print and process vendor checks for payment.
- Set up and manage Yard Card accounts for customers.
- Complete mail runs to send out customer statements, vendor checks, and other necessary correspondence in a timely manner.
- Provide backup support for accounts receivable and accounts payable staff when they are out of the office, ensuring seamless processing of payments, invoices, and vendor transactions.
SKILLS/QUALIFICATIONS:
- Experience in accounts receivable, accounts payable, or general bookkeeping preferred.
- Strong attention to detail and accuracy in data entry.
- Excellent communication skills for interacting with customers, vendors, and internal teams.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
- Dependable and able to work on a schedule, including meeting statement deadlines that may fall on weekends.
WORK ENVIRONMENT:
- This is a full-time in-office role requiring regular interaction with customers, vendors, and team members.
- Some local travel may be necessary for bank runs and mail deliveries.
PHYSICAL REQUIREMENTS:
- Sit/stand for 8 hours per day.
- Use hands and fingers to manipulate keys on a keyboard.
- Vision abilities required by this job include close vision.
- The noise level in the work environment is usually quiet to moderate.
- Occasional exposure to moving mechanical parts and vehicles.
- Must be able to lift/carry 30 lbs. occasionally; must be able to push/pull 30 lbs.
- Occasionally must reach with arms and hands, climb, or balance.
- All mobility motions are required occasionally (standing, walking, sitting, stooping, kneeling, crouching, crawling, squatting, and climbing).
- Range of motion and physical activity occurring randomly throughout work day.
