What are the responsibilities and job description for the Deputy Traffic/Financial Clerk position at Ashland County?
Manage and respond to emails and voicemails providing clear guidance on court procedures to attorneys, litigants and public. Maintain confidential criminal case information to ensure the protection and preservation of all court records and materials. Determines confidential documents and manages appropriately, maintain confidentiality as appropriate to include victim contact information. Maintain financial records, conduct case management, filing/recording documents, opening/closing cases, coordinating cases with other agencies and law revisions. Monitor the Court's checking account for e-payments and insufficient/returned checks and payments. Balance month-end bank statement with CCAP checking account, generate month-end reports; cut month-end checks. Process Department of Corrections documents, enter civil judgments as ordered and process monies paid on old criminal cases. Monitor trust accounts, refunds, bond monies, unclaimed monies, restitution, other Agency accounts, etc., checking for accuracy and pay out. Monitor accounts receivable for collection action, complete necessary paperwork for issued commitment warrants and warrant cancellations. Prepares, drafts and processes other varieties of documents, notices and forms. Responsible for ensuring documents are forwarded to appropriate court officials for signature. Distributes documents to appropriate persons or agencies and law revisions. Receipts applicable filing fees. Records accurate minutes, administer oaths and manage exhibits and documents. Proficiency to operate technical equipment including Zoom application and Digital Audio Recorder. Assist with records and judgment searches. Prepare documents for certification for the District Attorney, Defense Counsel and general public. Services as backup deputy window clerk, serves ad deputy clerk in all case type proceedings. Provide backup fiscal account/bookkeeping functions as needed. inputs and monitors assessments including attorney fees, restitution, blood draw fees and all court obligations. Monitors electronic payments. Enforce collection efforts to include issue of warrants, suspension of driver's license and hunting privileges. Cross-trained to assist and serve as backup where needed within the department. All other duties as assigned.
