Ashley HomeStore, the #1 Mattress and Furniture retailer in North America, has an immediate opening an Executive Administrative Assistant. The ideal candidate will provide high-level administrative support to the Executive Vice President, including managing schedules, organizing meetings, handling communications, and performing various office tasks. This role requires a minimum of 30% percent domestic travel, excellent organizational skills, a proactive approach, and the ability to handle confidential information with discretion.

KEY JOB RESPONSIBILITIES:

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department
  • Travel frequently with Executive Vice President (Up to 30%) for summits, meetings, etc.
  • Acts as a liaison with other departments, stakeholders, and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents. Etc. to effectively collaborate and form successful working relationships
  • Performs desktop publishing. Creates and develops visual presentations for the Executive Vice president
  • Organizes and prioritizes large volumes of information and calls
  • Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
  • Answers phones for vice president, takes messages or fields/answers for all routine and non-routine questions
  • Precise and accurate note taking and minutes for all meetings
  • Handles sensitive, confidential and non-routine information and explains policies when necessary
  • Works independently and within a team on special nonrecurring and ongoing projects and tracking deliverables for each stakeholder. Acts as project manager for special projects, at the request of the Vice President, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. and provide deliverables to stakeholders. Manages multiple Smartsheets. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy
  • All other duties as assigned

KNOWLEDGE/SKILLS/ABILITIES:

  • Bachelor's Degree in Business Administration, Finance, or other related field or a combination of experience and education
  • Proficient to Expert in MS Office Suite
  • 3-5 Years minimum Executive Admin Experience, preferably supporting senior executives
  • Must be able to travel frequently (up to 30% of travel time)
  • Ethical Conduct
  • High degree of professionalism and discretion, thus able to handle confidential and sensitive information appropriately
  • Time Management
  • Ability to communicate effectively, both verbally and written, with all levels of the organization.
  • Ability to work independently, exercise appropriate action and good judgement
  • Ability to manage multiple priorities, organize tasks and maintain control of work flow
  • Must have a satisfactory criminal background and driving record

PHYSICAL REQUIREMENTS:

  • Must have close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus to read reports, view computer screen, etc.
  • Must be able to hear and understand speech to interact with others.
  • Must be able to speak so that others will be able to understand.
  • Will work predominately remote and hybrid as needed
