Job Summary:
We are looking for a highly organized, detail-oriented, and proactive Administrative Assistant to join our growing team. This full-time role is essential in keeping our office running smoothly by supporting multiple attorneys with scheduling, client communication, invoicing, and administrative coordination. Key Responsibilities:
- Attorney & Office Support: Manage calendars, schedule appointments, and coordinate meetings for multiple attorneys to ensure seamless operations.
- Client Interaction: Serve as the first point of contact for clients, answering phones, responding to emails, and greeting visitors with professionalism and warmth.
- Billing & Payments: Handle billing, invoicing, and follow up with clients regarding payments, ensuring timely and accurate financial transactions.
- Client Onboarding & Contracts: Send contracts and intake forms to new clients, track responses, and ensure all necessary paperwork is completed.
- File & Document Management: Maintain and organize digital and physical case files to ensure quick and efficient access.
- Communication & Correspondence: Send, receive, and distribute emails and documents accurately and promptly.
- Project & Task Management: Use or learn project management systems to track tasks, deadlines, and case progress, ensuring nothing falls through the cracks.
- Office Coordination: Order office supplies, manage inventory, and oversee office organization to create an efficient and productive workspace.
- Basic Data Entry: Keep legal records, client information, and billing details up to date in case management systems.
Qualifications:
- Prior experience in an administrative role is preferred, but we welcome candidates who are eager to learn and grow in a legal office setting.
- Experience or willingness to learn billing, invoicing, and client payment follow-ups.
- Strong organizational and time-management skills with the ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn case and project management software.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- A positive, proactive attitude with a commitment to teamwork and problem-solving.
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
Compensation & Benefits:
- Full-Time Position: 40 hours per week, Monday–Friday, 8:00 AM – 5:30 PM.
- Starting Pay: $19 per hour.
- Performance-Based Growth: After an 8-week probationary period, employees will be eligible for a salary review with opportunities for an increase based on performance and contributions.
