What are the responsibilities and job description for the Sales Administrator position at Ashtead Technology?
What you'll be doing:
As Sales Administrator, you will be responsible for ensuring sales enquiries via telephone or email / web are responded
to immediately, that the sales support and office administration duties are completed efficiently, and
administration requirements for the corporate finance team are managed. Also, the role requires
provision of sales and administration support to the sales team as well as well as general administration
support.
Day to day you'll be involved in:
- Answering incoming calls and directing the enquiry to the appropriate internal salesperson
- Allocating incoming sales emails to a member of the sales team, ensuring they have capacity to
deal with the enquiry - Assist with the provision of sales quotations, by generating ERP quotations with the assistance
of the internal sales team - Liaise with sales team and clients alike to ensure rental share reports are sent out to suppliers
as soon as possible after invoicing has been run at the beginning of the month - Manage new customer set-up in the ERP system, verify trade references and make sure the COI
is correct for all AME - Make sure current customer accounting information and payment terms are up to date,
correct, current and their COI is not expired for all AME - Assist sales team in contract and quote maintenance
- Run invoices twice a month once termination notes have been received and checked by sales
staff - Send proforma’s to customers for review and obtain updated information for each contract
before invoicing contract - Run and send monthly invoices for all AME offices
- Be the first contact for Houston and major accounts for past due invoicing and make sure the
debtors list is up to date - Manage account receivables for all AME
- Transition customers paying by check into ACH payments
- Run the weekly flash report
- Assist sales team w/ arranging customer focused events i.e., site visits, lunches
- Adhere to Ashtead Technology’s QHSE related policies and industry standards
Other Administration:
• Maintain on call schedule
• Cross train for other admin roles to support as needed
• Arrange travel when requested for sales staff (Hotels, etc.)
What experience you'll bring:
- Previous experience in a similar sales role
- Previous experience with finance
- Excellent verbal and written communication skills
