This role requires excellent organizational skills, multiple priorities management, and a "no task is too small" mentality. Upon successful integration into the role, the client is expected to be able to disconnect and spend time offline without concern, as everything will be taken care of with the utmost attention to detail. Position Responsibilities:
· Collaborate on diverse projects across the US, providing essential support.
· Manage project timelines to ensure tasks are completed efficiently and effectively.
· Coordinate and manage logistics for travel arrangements.
· Provide administrative support, including documentation and reporting.
· Address various needs and requests to ensure comfort and well-being.
· Take initiative in errands and tasks, showcasing a proactive and solution-oriented mindset.
· Identify inefficiencies and propose solutions to optimize processes.
· Coordinate with security personnel, vendors, and staff, ensuring effective communication and understanding of client preferences.
· Work with the family’s finance team and accomplish basic finance related tasks as required.
· Develop detailed travel itineraries, including researching accommodations and booking restaurants and activities that align with the client’s tastes.
· Handle unexpected changes and challenges during travel with agility and foresight.
· Ensure all necessary parties, such as security and transportation services, are informed and prepared in advance.
· Be prepared to field questions and accomplish tasks outside of normal business hours.
Qualifications:
· At least 5 years of experience as an Executive Assistant or in a similar role.
· Experience in private aviation is an advantage.
· Advanced proficiency in Microsoft Office as well as Google Calendar and adaptability to new technologies.
· Exceptional organizational and time management skills.
· Proficiency in multitasking and prioritizing workloads.
· Strong communication skills – both oral and written.
· Demonstrate discretion and commitment to maintaining confidentiality.
· Flexibility and adaptability in a changing environment.
