Job Description:
At Aspen & Stone Interior Design, we're looking for a Design and Office Assistant who will play a pivotal role in supporting our design team. You'll support our creative and administrative operations.
In this role, you’ll assist in our administrative operations, including bookkeeping, project ordering and tracking, scheduling, and maintaining project samples and the sample library. You'll assist in developing innovative design concepts that align with the Principal’s vision. We seek someone who is highly organized, resourceful, and detail-oriented, and who thrives in a fast-paced, collaborative environment. This position provides an opportunity to gain hands-on experience in both the creative and operational aspects of a boutique interior design firm
Responsibilities:
- Coordinate vendor communications, handle customer service inquiries, and prepare comprehensive client binders (including FF&E schedules, spec sheets, and project samples).
- Monitor and manage orders, ensuring timely deliveries, handling returns, and processing exchanges efficiently.
- Provide essential bookkeeping support by classifying purchases, processing purchase orders and payments, preparing billing proposals, and resolving any discrepancies.
- Maintain client budget trackers to ensure accurate and transparent financial documentation.
- Assist with off-site tasks and sample pick-ups as needed.
- Support the design team with visual research, sourcing materials, and developing compelling presentations.
- Obtain quotes, pricing, and lead times for proposals, schedules, and estimated budgets.
Job Requirements:
- Minimum of 1 year of experience in interior design or a related field. A diploma or degree in Interior Design is a strong advantage.
- Comprehensive understanding of the entire design process, including Concept, Schematic, Design Development, Construction, Documentation and Administration, Procurement, and Installation.
- Proficient at balancing design creativity with technical knowledge. You should be able to work independently, manage multiple projects simultaneously, and proactively anticipate team and project needs.
- Excellent communication, interpersonal, and time management skills with an ability to adapt to the daily needs of the business.
