- Maintain financial transaction records.
- Calculate & process various accruals.
- Payroll processing
- Serve as a positive and guiding force that supports AYS’s mission, vision, and values
- Observe and monitor all processes and procedures, recommending adjustments/solutions to issues and obstacles.
- Communicate respectfully with all stakeholders to ensure situational understanding.
- Process accounts payable invoices, ensuring accuracy and proper authorization.
- Prepare and process payments, including checks, electronic transfers, and ACH payments.
- Manage credit cards, ensuring accuracy, proper documentation, and appropriate authorization.
- Reconcile accounts payable transactions and resolve and discrepancies.
- Manages appropriate vendor records in QuickBooks, including, but not limited to, W-9, Contracts, and Certificates of Insurance.
- Process accounts receivable, including payment processing.
- Monitor accounts to ensure timely payments and follow up on overdue accounts.
- Assist in month-end closing processes and prepare necessary documentation.
- Communicate with vendors and customers to resolve billing and payment issues.
- Process payroll, ensuring accurate payroll processing.
- Liaison with payroll provider, ensuring proper schedules, taxes, deductions, accounts, etc are properly setup and maintained.
- Performs various journal entries, accruals, accounts payable, accounts receivable, payroll, etc.
- Ensure compliance with company policies and relevant accounting regulations.
- Prepare various ad-hoc reports on an as needed basis.
- Attend and participate in regularly scheduled individual, team, organization, and project meetings/activities.
- Understands, communicates, and enforces the organization’s values, policies, guidelines, and practices.
- Performs other related duties as assigned.
- Applies basic accounting knowledge and techniques to all areas of work, including the production of journals, routine costing, and variance analysis.
- Ensure proper communication and training to appropriate staff regarding AYS’s fiscal policies and procedures to ensure efficiency and effectiveness.
- Maintain compliance with COA, licensing and AYS policies and procedures; follow and understand all safety and security procedures.
- Suggest changes to internal department procedures as identified and be involved in the continuous improvement development of processes.
- Complete all annually required and assigned training as necessary.
- Analyzes basic financial information in response to queries from managers or vendors.
- Investigate and answer routine queries arising from management and other finance staff.
- Create and maintain finance files as needed including financial information for annual audit.
