FISCAL / CONTRACT ADMINISTRATION SPECIALIST
JOB DESCRIPTION:
Position responsible for effectively coordinating projects to include coordination with vendors, suppliers.
This position may be assigned to Fiscal Services / Contract Administration Services, or a combination of duties as indicated below.
Salary: $25,81 per hour
Location: 201 South Rosalind Ave, Orlando FL 32801
Work Schedule: Monday to Friday from 8:30 am to 5:30 pm
REPRESENTATIVE DUTIES /ASSIGNMENTS
- Monitoring contractors and vendors to ensure compliance with contracts and specifications, and monitoring and coordinating daily activities to ensure the most efficient and effective methods of service contracts.
- Determines requirements and makes recommendations to handle projects with internal county resources or outside bidders.
- Prepares and verifies cost estimates assuring materials and services are available.
- Meets with County officials, Department Director, and Division Managers to review requirements, coordinate efforts and develop work schedules to completion.
- Prepares and maintains accounts payable and revenue records. Analyzes and reconciles accounts to identify discrepancies.
- Prepares and maintains fiscal records and accounts relating to fund expenditures, project costs, contractors’ invoice, and payroll projections. Receives, audits, verifies, and processes invoices and travel reimbursements. Prepares budget transfer requests.
- Prepares requisitions. Maintains accurate records of goods and services ordered and received. Prepares bills for the purchase of services and maintains bill system records.
- Prepares monthly and quarterly financial reports for funds, grants, and projects to accurately track revenue and expenditures. Maintains an automated accounting system.
- Assists in the preparing and monitoring department/division budget and expenditures.
- May provide functional guidance to other accounting or clerical staff.
- Performs other duties as assigned.
The Fiscal & Operational Support (FOS) Division of Planning Environmental and Development Services (PEDS) Department is in need of candidates to fill the Fiscal/Contract Specialist position as soon as possible.
The candidate will be doing fiscal work and answering phone calls. Fiscal work will include cashiering, processing invoices, data entry, filing, and refunds. The work location is the downtown County Administration Building, in the PEDS Department, FOS Division. The complete job description is below.
MINIMUM QUALIFICATIONS
Associate's degree and three years of progressive experience in contract administration, fiscal/financial services; or an equivalent combination of education, training or experience.
PREFERENCES
Bachelor's degree in closely related field.
