What are the responsibilities and job description for the Fiscal Effectiveness Specialist position at Universidad Ana G. Méndez?
We are currently looking for an individual to join our team as Fiscal Effectiveness Coordinator. Work includes technical and administrative work related to the Faculty Payroll coordination and oversight, conducting payroll cost analysis, and performing compliance audits. This position ensures accurate and timely payroll operations and compliance with university academic policies, as well as provides support to academic areas in managing faculty compensation scales.

ESSENTIAL FUNCTIONS
1. Collaborate in monitoring all cycle stages of part-time faculty management, including contract processing, class credit assignments, payroll coordination, and budget monitoring to ensure compliance with institutional policies and financial accuracy.
2. Collaborate with the processes for the cost analysis of the control of sections scheduling the academic units.
3. Manage and maintain payroll-related databases, ensuring data integrity and accuracy for processing.
4. Conduct analysis on salary distribution and budget allocations to support financial planning, compliance, and decision-making processes.
5. Keep statistics related to areas that impact the budget structure updated.
6. Evaluate and ensure compliance with the faculty compensation scales in accordance with the university academic policies.
7. Audits payroll databases for faculty payments and supports the units responsible for processing them.
8. Monitor course scheduling in accordance with the assigned budget.
9. Develop and conduct training sessions for new team members on payroll processes, faculty compensation structures, and the use of payroll-related systems.
10. Train personnel assigned to campuses to work with payroll based on faculty assignment and to maintain all required documentation in faculty files to ensure compliance with processes.
11. Responsible for auditing all part-time faculty payroll processes until they are uploaded to the Human Resources system.
12. Provide analysis to support departmental leaders in part-time faculty budget cost analysis, expenditure tracking, and resource optimizations.
REQUIREMENTS
1. Bachelor’s degree in business administration or related area from accredited university.
2. Three (3) years of experience in payroll and data entry and analysis.
3. Ability to express himself/herself effectively, verbally and in writing, in Spanish and English.
4. Knowledge of Microsoft Office, especially Excel.
5. Knowledge of the organization and functions of an academic institution.
6. Ability to prepare and manage budget reports.
7. Ability to prepare clear and concise written reports, proposals, and communications in Spanish and English.
8. Demonstrate mastery of business productivity, technological tools, and remote communication technologies to support their functions and offer physical and remote services.
9. Knowledge of the institution's procedures, regulations, and administrative systems.
10.Interpersonal communication skills sufficient to communicate effectively with students, faculty, and administrators.
11.Ability to use telephone and email or other alternative methods of communication.
12.Ability to establish and maintain effective interpersonal relationships with faculty, junior employees, students, and the public.
13.Proactivity and problem-solving skills.
14.Ability to work with multiple assignments.
15.Skills to work in a team and under pressure.
