JOB TITLE: Registrar
QUALIFICATIONS:
1. High school diploma or equivalent.
2. Three (3) years of secretarial experience.
3. Must meet background clearance requirements as specified by Alabama statutes and State Board of Education regulations.
FLSA STATUS: Non-Exempt
REPORTS TO: Principal
TERMS OF EMPLOYEMENT:
Length of the work year and hours of employment shall be those established by
the system.
DUTIES AND RESPONSIBILITIES:
1. Handle attendance reporting, including daily, monthly, and end-of-year reports.
2. Manage student registration.
3. Process student enrollments, transfers, and withdrawals.
4. Maintain cumulative folders.
5. Compile state and federal reports.
6. Maintain security of records, materials, and equipment.
7. Provide secretarial services for the principal and programs under administrators ' supervision (answer phone, greet visitors, etc).
8. Maintain student records, post standardized test scores, initiate new records for incoming students, and forward required records for student transfers.
9. Prepare and send student transcripts to enrolling school/college.
10. Prepare memorandums, letters, forms, and other materials as assigned.
11. Distribute incoming mail, packages, and other materials.
12. Inventory and order office supplies.
13. Maintain proper files for all documents as assigned.
14. Assist with all individual or business contracts.
15. Participate in training programs offered to increase skill and proficiency related to assignments.
16. Participate in cross-training activities.
17. Maintain confidentiality and high ethical standards.
18. Notify the supervisor of potential problems or unusual events.
19. Assume other reasonable and equitable job-related duties as assigned by the immediate supervisor.
KNOWLEDGE, SKILLS, AND ABILITIES:
1. Considerable knowledge of the operations and functions of the school system.
2. Ability to use excellent business English, spelling, grammar, and punctuation.
3. Knowledge of the principles and practices of administrative secretarial work,
system accounting and payroll.
4. Ability to interpret rules, regulations, and policies and to use mature judgment in making decisions.
5. Ability to establish and maintain effective and professional working relationships with administrative staff, students, and the public.
6. Ability to operate a computer and utilize software applications for word
processing, spreadsheets, and other functions.
7. Ability to prepare and maintain accurate and complex financial records and reports.
8. Excellent organizational skills.
9. Ability to work with and without supervision.
10. Ability to greet and deal with visitors.
11. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment.
12. Possess and maintain a valid Alabama driver's license.
