Key Responsibilities
- Executive Support:
- Manage the COO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for executive meetings.
- Conduct deep research on various topics, summarize key findings, and present actionable insights to the COO.
- Coordinate and facilitate communication between the COO and internal/external stakeholders.
- Handle confidential information with discretion and professionalism.
- Office Management:
- Oversee daily office operations to ensure a productive and efficient work environment.
- Liaise with multiple vendors and subcontractors, ensuring seamless coordination and project execution.
- Organize company events, meetings, and team-building activities.
- Implement and maintain office policies and procedures.
- Financial Support:
- Assist in basic financial tasks, such as processing invoices, expense reports, and budget tracking.
- Coordinate with the finance department to ensure timely and accurate financial documentation.
- Support the preparation of financial reports and summaries as needed.
- Presentation & Marketing Management:
- Assist in the creation and management of presentations and marketing materials.
- Support branding and communication efforts, ensuring consistency across platforms.
- Collaborate with team members to execute marketing initiatives.
Requirements
Qualifications:
- Bachelor's degree or equivalent experience.
- Proven experience as an executive assistant, office manager, or in a similar administrative role.
- Proficiency in Google Suite and QuickBooks; Procore experience preferred.
- Strong written and verbal communication abilities.
- Exceptional organizational and time-management skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Strong research and analytical skills, with the ability to synthesize information and present summaries effectively.
- Interest in the construction industry and the built environment is advantageous.
- Interest in collaborating with others, including delegating and coordinating tasks assigned by the COO.
Salary : $70,000 - $90,000
