Our client a Large Insurance company is seeking an Executive Assistant to support a C-level executive. The ideal candidate will have excellent communication skills, a strong ability to manage schedules, travel arrangements, and correspondence, and the ability to anticipate needs and handle sensitive information with discretion. This is a hybrid role requiring 4 days in office.

- Prepares, edits, and organizes a variety of correspondence, reports, presentations, and documents in support of new business development activities.
- Performs data entry of contacts/prospects and performs mail merges for marketing mailings.
- Manages calendars and schedule appointments.
- May perform public relations work for producers, including coordinating special events, luncheons, golf outings, and seminars.
- Coordinates and arranges travel arrangements, including flights and accommodations.
- Protects the confidentiality of information learned by performing the duties of the position.
- Meets with team members as needed to provide updates on current work assignments.
- Organizes and maintains files of correspondence and other records, ensuring documents are easily accessible.
- Independently coordinates the production of responses to requests for proposals (RFPs) using internal and external resources.
- Receives, reads, and is proactive in handling daily mail and email as directed by individual team member/leader, and initiates action on items requiring immediate attention.
- Process expense reports using knowledge of client/prospect activity and ensure timely reimbursement.
- Manages the new business production reports for select producers.
- Ability to make decisions in compliance with established company standards of quality performance and service.
- Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint, and Access.
- Ability to attend company, department, and team meetings as required, including industry training sessions.
- Experience using a CRM system such as Salesforce.
- 5 to 10 years of professional experience performing executive-level sales support or similar administrative experience in a corporate environment.
- Ability to comply with all company policies and procedures, proactively protecting confidentiality of client and company information.
- Ability to travel by automobile and aircraft and to stay for more than one day and night in commercial lodging facilities.
- Advanced skills with email and calendar systems such as Outlook.
- Organizational and time management skills to prioritize a busy workload to meet time-sensitive deadlines.
- Experience with the internet, including knowledge of LinkedIn, Facebook, and other social media for the purposes of professional networking.
- Bachelor’s degree in marketing, general business, or equivalent education or experience preferred.
- Appropriately assertive personal presence to interface with clients, associates, and other individuals, in both one-on-one and group situations, representing Lockton in the highest professional manner.
