Duties and Responsibilities:
Auburn University at Montgomery’s (AUM) Financial Services Office is seeking a Procurement Services Coordinator who will be responsible for conducting a variety of routine procurement activities or services in accordance with policies, standard business practices, and ethical practices.
This position will perform assignments that require a working knowledge of requisitions, purchase orders, invoices, contracts and other related documents as necessary, supporting all procurement requirements for assigned University group(s). The Procurement Services Coordinator will report to the Director of Procurement Services. Due to the needs of the department, this position will be onsite at AUM, not remote.

- Keeps current on procurement and contracting guidelines and best practices at the University, State and Federal levels.
- Provides guidance to campus personnel on University spending policies and procedures.
- Fosters and manages professional, cooperative and productive working relationships between AUM and vendors/suppliers, resolving problems and/or conflicts in a timely manner.
- Serves as the first point of contact for inquiries related to procurement and will assist, advise, resolve basic concerns.
- Assists the campus community with use of eProcurement and ERP systems.
- Assists departments in identifying sources of supplies and method of procurement.
- Reviews contract requests to include researching and collecting information for clarity, accuracy and completeness.
- Reviews documentation for compliance with University policies and State and Federal rules and regulations.
- Requests, reviews and conducts assessment of risk and insurance issues related to contracts/agreements and their activities.
- Coordinates the execution of contracts, maintenance agreements, quotes and proposals.
- Maintains contract spreadsheets/databases by way of frequent and timely entry of information.
Knowledge, Skills, and Abilities:
- Knowledge of State and Federal laws and regulations relevant to contracting and purchasing.
- Knowledge of contract administration to include purchasing methodologies, principles, processes, and practices.
- Knowledge of basic accounting principles as related to purchasing.
- Attentive to details and highly organized.
- Strong analytical and problem-solving skills.
- Customer service oriented with excellent interpersonal skills.
- Excellent computer skills and proficient in a variety of computer applications including word-processing, spreadsheets, databases, online systems (e.g. Microsoft products and Adobe).
- Ability to interpret and apply policies and procedures.
- Ability to process multiple projects, set priorities, and work effectively both independently and/or part of a team to meet objectives.
- Ability to communicate in a clear and concise manner, both orally and in writing.
- Ability to handle confidential information with discretion.
- Ability to respond to inquiries in a professional manner while operating in an environment with frequent interruptions.
- Ability to establish and maintain relationships with University personnel and vendors.
Minimum Qualifications:
Bachelor’s Degree in business, management, public administration, accounting, or discipline appropriate to position and one (1) year of related work.
