Job Overview
We are seeking a highly organized and professional Receptionist/Secretary to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, be detail-oriented, and have a friendly demeanor to create a welcoming environment for clients and visitors.

Duties

  • Greet and assist visitors in a courteous and professional manner.
  • Answer incoming calls, directing them to the appropriate personnel while managing multiple phone lines.
  • Manage office correspondence, including emails, memos, and packages.
  • Maintain an organized filing system for documents and records.
  • Schedule appointments and manage calendars for staff members.
  • Provide administrative support, including data entry, document preparation, and report generation.
  • Assist with customer support inquiries, ensuring prompt resolution of issues.
  • Perform general office management tasks to maintain a clean and efficient workspace.
  • Support tasks as needed, including patient check-in/check-out procedures.

Requirements

  • Proven experience as a receptionist or in a similar administrative role.
  • Bilingual skills are a plus to enhance communication with diverse clientele.
  • Strong computer literacy with proficiency in Microsoft Office Suite and office management software.
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Exceptional customer service skills with a friendly and approachable demeanor.
  • Strong organizational abilities with attention to detail in all tasks performed.
  • Experience as a personal assistant or in customer support is advantageous.
  • Familiarity with but not required.

Pay: From $14.00 per hour

Expected hours: 35 – 45 per week
