As we continue to grow, Auto Hauler Exchange is looking for an Executive Administrator to support our executive office in Rochester, MI.
JOB DESCRIPTION:
This role will a serve as a senior-level administrative professional responsible for managing the day-to-day operations of our executive office, including complex scheduling, communication, document management, and project coordination, providing high-level support to C-suite executives by handling confidential information and ensuring smooth workflow across multiple priorities.
RESPONSIBILITIES (include, but are not limited to):
Calendar management:
- Proactively managing complex schedules for executives, including coordinating meetings, appointments, travel arrangements, and time zone considerations.
Communication management:
- Acting as the primary point of contact for internal and external stakeholders, filtering communications, drafting correspondence, and preparing presentations.
Meeting coordination:
- Developing meeting agendas, preparing materials, taking minutes, and following up on action items.
Project management:
- Supporting executive-level projects by coordinating tasks, tracking progress, and ensuring timely completion.
Financial management:
- Managing expense reports, processing invoices, and tracking budgets for the executive office.
Information management:
- Maintaining confidential records, files, and databases, ensuring accurate and organized information access.
Office administration:
- Overseeing office operations, managing supplies, coordinating facilities maintenance, and managing staff within the executive office.
ABOUT YOU:
Exceptional organizational skills:
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively.
Strong communication skills:
- Excellent written and verbal communication to interact with diverse stakeholders, including executives, clients, and internal teams.
Discretion and confidentiality:
- Ability to handle sensitive information with utmost confidentiality.
Proficiency in technology:
- Expertise in Microsoft Office Suite, calendar applications, and project management software.
Attention to detail:
- High level of accuracy and meticulousness in handling administrative tasks.
