ADMINISTRATIVE ASSISTANT
JOB SUMMARY :
Administrative Assistant supports the supply chain team by managing administrative tasks, coordinating logistics, and maintaining accurate records. This role ensures the smooth operation of supply chain activities, including procurement, inventory management, and shipment tracking, while collaborating with internal teams and external partners.
DUTIES AND RESPONSIBILITIES :
- Maintain and update supply chain documentation, including purchase orders, invoices, and shipping records.
- Organize and schedule meetings, including preparing agendas and distributing meeting minutes.
- Assist in the preparation of reports and presentations for management.
- Support the procurement team by processing purchase requests and following up on supplier orders.
- Monitor delivery schedules and resolve any delays or discrepancies with vendors.
- Update inventory databases and reconcile discrepancies between physical and system records.
- Assist in inventory audits to ensure accuracy and compliance with organizational policies.
- Coordinate shipments, including tracking deliveries and managing carrier communications.
- Resolve logistics issues, such as delayed shipments or damaged goods, in collaboration with vendors and carriers.
- Ensure compliance with company policies and regulatory requirements in all supply chain activities.
- Maintain accurate and up-to-date records in ERP and supply chain management systems.
- Serve as a point of contact for customer and supplier inquiries related to supply chain operations.
- Address and escalate issues as necessary to ensure prompt resolution.
- All other duties as assigned.
